Job Summary

Under minimal direct supervision, the Director of Grants works with the President, the Business Office, and campus stakeholders to oversee management and administration of the College’s grant process to include researching, writing, and submitting successful grant applications in line with the College’s mission, strategic goals and initiatives, and priorities as established by the administration. The director may also train, advise and coordinate with others on campus as they research and write grants. All grants submitted from the college will flow through this position/office for review and tracking.

Typical Job Functions

  • Develop and implement procedures for gathering and tracking pending grant applications and funding authorizations
  • Work with Grant Principal Investigator (PI), managers or, POCs to track spending, meet deadlines, and ensure compliance with grant requirements, including proper use of funds
  • Research, identify, present, and maintain sources of public and private grant opportunities that are in line with prioritized target areas
  • Develop proposals, write grants, gather supporting documentation, and submit to granting agency in a timely manner, meeting all agency guidelines/requirements, and complying with all applicable laws, regulations, policies and procedures
  • Ensure quality, accuracy, and completeness of all submitted grant proposals, (well-researched, well-written, well-documented, with a well-developed budget)
  • Contact and follow-up leads with granting organizations and agencies
  • Understand and commit to the College’s mission and strategic goals and objectives
  • Verify that matching funds, if required, are available
  • Verify that the college has the ability to follow through with grant benchmarking and performance and reporting requirements, including any post grant obligations
  • Actively participate in strategic planning, outcomes assessment, and accreditation related activities
  • Assist with the continuous improvement of services, programs, activities, materials, policies, and procedures
  • Maintain working knowledge and understanding of and ensure compliance with all applicable laws, regulations, policies, and procedures
  • Inform administration and project directors of all relevant requirements, laws and regulations (eligibility, timeline, type and amount of match, allowable expenses, supplanting issues, etc.)
  • Meet established benchmarks for submission and successful applications (i.e. dollars brought in)
  • Utilize sound judgment and maintain strict confidentiality
  • Maintain grant related records in an easily understandable, accessible, and transparent fashion (e.g. project ideas/requests/needs from faculty, staff, administration; which projects/requests made it to which grant applications, etc.)
  • Maintain accurate, complete and current files and records, including research findings, grant proposals submitted, and the status of past, pending, and current grants and contracts
  • Coordinate with the appropriate department manager, Business Office, including the Grant Accountant and Procurement Office, and the Human Resources Office, to ensure all requirements for purchasing hiring and billings (claims) are handled in an efficient and timely manner
  • Perform miscellaneous job-related duties as assigned

Minimum Qualifications

  • Bachelor’s degree, from a regionally accredited higher education institution, in related discipline or an equivalent combination of education and experience
  • Three (3) years' experience in identifying, applying for and successfully administering grants from public and private sources including state and federal agencies
  • Demonstrated ability in writing and administering grants
  • Knowledge of grant application process, including application of indirect costs, funding agencies, scoring criteria, and funding cycles.
  • Excellent research, analysis, and reporting skills
  • Proven leadership, organizational, and project management skills
  • Demonstrated ability to identify trends, problems and opportunities and identify funding sources that address the identified problems and/or take advantage of opportunities

Additional Desired Qualifications

  • Master’s degree in academic or related field
  • Experience with Title III and TRIO program grants
  • Five (5) or more years' experience in identifying, successfully applying for, and administering grants from public and private sources (including federal grants)
  • Bilingual (Spanish)

Employees work indoors and are protected from weather and/or contaminants, but not, necessarily, occasional temperature changes. The employee is regularly required to sit and often uses repetitive hand motions.
