Job description
Dispatcher/Administrative Assistant
Locally owned, Non-Emergent Medical Transportation company is looking for a detail-oriented individual with exceptional communication skills to dispatch transportation appointments, and complete office/clerical duties. The position will transition to work from home (WFH) after training is complete. Cross training to assist drivers in the field with gurney transports is required.
Responsibilities
- Receive calls from clients/community health partners, gather detailed information accurately, create trips/daily schedules, and record customer and referral source information
- Dispatch calls, using company protocols, and enter data into software promptly and accurately
- Monitor dispatch dashboard and communicate with drivers in the field to ensure timely pick-ups and handle variances
- Prioritize and schedule return trips according to standard time frames, service agreements, and driver locations
- Apply knowledge about company policies and procedures to best meet customer needs
- Document all additional information/notes within the dispatching system accurately
- Ensure customers are aware of response time expectations and that those expectations are met or exceeded; keep customers informed of any delays in service
- Maintain driver schedules
- Assist with monitoring and filing of fleet maintenance and other logs
- Report any variances to manager
- Send emails/texts/other messages through various technology as needed
- Cross train to assist drivers in the field
- Other clerical duties as assigned
Qualifications
· Excellent interpersonal communication skills, both written and verbal
· Strong customer service background
· Able to prioritize and multitask in fast-paced environment
· Critical thinking skills and ability to respond quickly to unplanned schedule changes
· Deadline/time frame and detail-oriented
· Exceptional work ethic including willingness to accept ownership and accountability for assigned tasks
· Ability to work as a self-starter and in a team environment
· Proficient use and understanding of the English language
· Must have cell phone, computer/laptop, and high speed internet in the home and have a quiet area to work uninterrupted
· Must be proficient with technology
· Must have knowledge of Wichita metro area
Skills
· Type 40+ WPM
· Proficient with Windows operating systems
· Proficient with computer functions and Microsoft applications
· Dispatch exp. strongly preferred
Education/Experience
· High School diploma or equivalent required
Experience:
· Relevant: 1 year
· Customer Service: 1 year
· Healthcare related (preferred)
· Dispatch/scheduling experience preferred
Work authorization: United States (Required)
