The Beacon House Association of San Pedro is a state-certified, residential substance abuse recovery program for men with a sincere desire to achieve long-lasting abstinence from drugs and alcohol. As residents of the Beacon House, the men are provided with food, shelter, counseling, peer group support, educational opportunities, and career training through our social enterprise programs, including the Beacon House Thrift stores. This allows the men to develop the life, career, and social skills they need to build a foundation in recovery, while preparing them for a strong reintegration into the job market and a bright future when they return to their family, home, and community.

Position Overview

The Donor Relations Coordinator at The Beacon House Association of San Pedro (hereafter “BHASP” or “the agency”) exists to support the “Fundraising & Communications” department and is directly responsible for executing on the agency’s outbound communications, donor engagement, and donor relations. The Donor Relations Coordinator’s primary objective shall be to work with the Chief Compliance Officer and Executive Director to grow, steward, and increase engagement from the agency’s donor base. To that end, the Donor Relations Coordinator shall focus on written and verbal communication with audience (e.g., email blasts, reports, newsletters, thank you cards, follow ups, press releases, etc.), copywriting and content creation for fundraising campaigns, interfacing with donors, developing advertising & marketing strategies, and employing strategies to build donor base and target specific segments of audience. To achieve this, the Donor Relations Coordinator’s job will necessarily involve management and tracking of donor information (e.g., new donors, lapsed donors, recurring donors, financial data, fundraising outcomes, etc.).

Specific Responsibilities

  • Written and verbal communications with donor base and audience: marketing emails, newsletters, press releases, direct mailers, personalized email communications, individual follow ups and “thank you”, etc.
  • Content creation & storytelling: identifying opportunities to tell meaningful and impactful stories to our audience (e.g., resident success stories, Independent Alumni achievements, BHASP organizational achievements, new grants or programs, promotional opportunities, etc.), and developing dynamic and engaging ways to tell these stories (e.g., email, video content, brochures, newsletters, printed programs for events, website blog, etc.).
  • Creating content that is consistent with BHASP brand, company ethos, mission, and core values.
  • Design, regularly review, and revise outgoing email templates in MailChimp to improve overall audience response & engagement.
  • Perform ongoing maintenance of current donor base in CRM and any other necessary technology (e.g., Funraise, MailChimp). This may include inputting of new donors and new donor information, updating contact information/addresses, and inputting financial data (e.g., donations, grants, in- kind donations, gifts, etc.).
  • Developing methods to better organize and track information on audience and donor base. This may involve strategic grouping or segmenting of audience (e.g. majors vs. non-majors, demographic data, zip code, corporations & foundations, faith-based organizations, family members of alumni, etc.)
  • Addition of new donors and growth of audience: Identify and capitalize on opportunities to add new donors and new contacts to the agency’s audience. Create “feeder systems”: leveraging BHASP events, fundraisers, graduations, luncheons, tours, and BH Thrift Shops, etc. to add new contacts to database and increase audience and reach.
  • Track donor trends and audience responses based on “giving” modalities, ask strategies, and content strategies. Utilize such data to develop dynamic responses, increase personalization of marketing & communications, and increase impact. Analyzing how specific strategies lead to highest open rates, click rates, overall engagement, etc. Identifying which asking & copywriting strategies are most successful and generate most revenue. Identifying which revenue generating activity (e.g. recurring donors, direct mailers, fundraising events, etc.) is most successful and allocating time and resources in this direction.
  • Facilitating the movement of donors and supporters through the stages of Donor Cultivation: Identification, Qualification, Cultivation, Solicitation, Stewardship.
  • Identifying specific donors to reach with personal follow ups, phone calls, letters, or notes. Donor stewardship.
  • Collaborate with Fundraising & Communications team on strategies to meet the company’s overall budget goals and fundraising targets: Retaining “major” donors, corporate donors, and sponsors; Eliciting increased engagement and increased giving from charitable foundations; Increasing revenue generated from monthly/recurring donors by increasing volume of recurring donors.
  • Directly asking for donations, sponsorships, financial support, or other contributions either through email, phone, or face-to-face engagement.
  • Increase overall face-to-face interaction with major donors and potential funding sources.
  • Coordinate with Fundraising & Communications team to execute marketing and communications strategies that align with the company’s major fundraising events and campaigns (e.g. Heart of Recovery Dinner, Golf Tournament, Giving Tuesday, Holiday Appeal, FYE appeal, etc.) “Save-the-Date”, invitations, email blasts, advertisements, etc.
  • Attend and participate in planning committees for major fundraising events and executing on tasks as needed and as directed by the event planning committee.
  • Coordinate and execute "Thank You" response process for all fundraising events, campaigns, grants, and individual donations (e.g., “Giving Forms” in Funraise, receipts, tax-deductible 501(c)3 non-profit information, “thank you” letters, etc.)
  • Work closely with CCO and Executive Director in identifying and developing new donor opportunities with both individual and corporate prospects: grants, sponsorships, and implementation of a planned giving platform.
  • Plan and execute all direct mail campaigns (Holiday Appeal, FYE Appeal) by building and managing a team of resident volunteers i.e., "Writing Team".
  • Continually evaluating overall communications cycle and developing strategies to automate, optimize, and streamline. Identifying and executing opportunities for process improvement and optimization of donor onboarding and giving (e.g., reduce donor friction, reduce web forms, automated emails, automated giving forms, etc.)
  • Continue to build a list of leads and opportunities for new “major" donors, foundations, and corporate sponsors.
  • Researching and identifying philanthropic foundations for potential partnerships and grant funding opportunities.
  • Grant writing: Working with CCO and ED to identify appropriate & strategic grant opportunities for organization to pursue. Assisting with completion of grant applications, writing of grant narratives, LOIs, & budget letters, submission of supporting documentation and materials for grant proposals as needed.
  • Grant tracking & compliance: Proper recording of all grant funding received using internal tracking systems (e.g., Funraise, AirTable, etc.). Identifying grant reporting requirements and ensuring reporting requirements for Philanthropic foundations or government entities are met in a timely manner.

Qualifications

  • Degree in Marketing, Communications, English, or Business Administration preferred, but equivalent experience (~4 years related field) acceptable
  • 2+ years’ experience in marketing, public relations, donor relations, or fundraising preferred
  • Certifications in Grant Writing, Non-Profit Fundraising, or Non-Profit Management ideal
  • Exceptional written and verbal communication skills, including exceptional copywriting, storytelling, public speaking, reporting, etc.
  • Must be able to submit three (3) writing samples as part of interview process
  • Exceptional customer service/donor relations skills: patience, problem solving, persuasion (sales ability), attentive to customer needs, proactive, personalized and dynamic engagement
  • High-level of creativity and ability to generate content ideas and copywriting on demand
  • Understanding of non-profit fundraising and business development concepts: donor engagement, transparency, ask strategies, donor cultivation & stewardship, reporting, etc. preferred
  • Proficiency in MS Office products (e.g., MS Outlook, MS Word, MS Excel, MS Teams, etc.) required
  • Proficient with CRMs, donor databases, marketing automation platforms, and ability to learn and adapt to new software quickly. Familiarity with following software ideal: MailChimp, Funraise, ThriftCart, monday.com
  • Highly organized and strong time-management skills

Position Status
Full-time, paid hourly

Salary Range

$28.00-$38.00 hourly
