Job description
The Dual Credit Program Assistant is responsible for providing assistance to the Dual Credit Program and Honors Experience projects. Position will ensure that the program's goals and objectives are met. The assistant will provide support services to both Dual Credit and the Honors Experience, work directly with high school partners, and assist in special events.
- 1. Assist with Dual Credit Program projects and initiatives, in particular: a) Ensuring all student records and databases are up-to-date and accurate, including student academic records, eligibility, needed enrollment forms, and follow-up information. b) Working cooperatively with partner high schools and dual credit coordinators to identify and communicate overall program processes, scheduling needs, student issues and other details. c) Entering detailed data into Excel documents and Ellucian/Colleague software d) Assist with Dual Credit Program book distribution and communicate with the bookstore on ordering needs and updates. e) Assist with Dual Credit Program billing and communicate updates to constituents. f) Assist in midterm, grade roster deadline compliance and communicate information to Dual Credit Faculty. g) Assist with Coordinator pay h) Assist with maintenance of personnel files and instructor communication
- 2. Assist with Honors experience and initiatives, in particular: a) Provide assistance with Honors Experience program information, student records and data entry, often on tight deadlines. b) Assist with marketing and promotions of Honors experience initiatives and social media. c) Communicate program requirements with Honors Experience students, update Phi Theta Kappa students as needed on Canvas. d) Work with Honors Experience Faulty Advisor and other faculty on honors program courses and processes.
- 3. Assist with events, such as Laker Visit Days, the Annual Academic Challenge Competition, Dual Credit Kickoff, and other events related to Dual Credit and Honors Experience.
- 4. Schedule meetings and events using Microsoft Outlook and telephone; revise departmental forms as needed.
- 5. Maintain student/program confidentiality.
- 6. Update and maintain web site content and social media.
- 7. Other duties as assigned.
- 8. Serve as clerical support as needed to Assistant to the Dean of Academic Operations and Honors Experience Faculty Advisor.
Specific Functional Job Requirements
Education:
Bachelor's Degree required
Experience:
Experience in office setting, related experience in college setting preferred.
Knowledge:
Business etiquette, general office procedures.
Skills
Excellent interpersonal, oral and written communication, and organizational skills; ability to maintain confidentiality, Microsoft Office XP skills; multi-line digital phone system; ability to learn the college software system and word processing.
Personal:
Detail-oriented, self-starter who enjoys data entry and a fast-paced work environment. Work consistently to further the college's vision and values. Work collaboratively with immediate peers and other departmental areas to support student learning and development. Show respect and compassion for others.
Physical:
Ability to visually and manually access computer screens and electronic records in software packages currently used by the college; ability to manually input data; ability to manipulate and transport 50 pounds.
Machines and equipment used:
College mainframe software, PC Client Server environment, Windows platforms, Microsoft Office XP, Eudora Light/Outlook, Internet Explorer, presentation equipment/software, facsimile machine, multi-line digital phone system, form feed/flatbed scanner and copy machine and related educational software.
