Event Coordinator
Job description
Reporting to the Marketing Project Manager, the Events Coordinator will coordinate and help plan events for endpoint Clinical. The Events Coordinator will ensure the messaging and branding is properly executed for each event. This is a role that requires an ability to work independently, under pressure and with challenging deadlines.
- This role requires some travel - up to 15%.
- Coordinate and manage events, including their execution. Events will include, but are not limited to, tradeshows, webinars, workshops, and team summits
- Assure deadlines are met and communicate timelines and priorities on event programs
- Create presentations, talking points, FAQs, case studies for speaking sessions
- Assist in negotiating agreements with vendors and sponsor contacts to ensure lowest cost and highest quality of service
- Work closely with Marketing Project Manager on sponsorship arrangements and key initiatives within the organization
- Troubleshoot and smooth issues related to the successful execution of the event program.
- Help develop and launch all social media and email marketing campaigns that are event related.
- Establish a relationship with the Business Development team to support all events and properly brief them on all event requirements
- Work with Subject Matter Experts and coordinate their involvement at speaking sessions
- Coordinate all event shipping through the exhibit house vendor
- Organize promotional items and presentation materials related to events. Work with vendors and the Marketing Project Manager to ensure branding and messaging is properly executed
- Arrange travel and book accommodation for event attendees as needed
- Assist in creating post event analysis, budget recaps, internal feedback through post-event surveys and help incorporate insights into future event plans
- Conduct market research and identify new event opportunities for the company
- Travel as needed for onsite event support (10-15%)
3+ years of event management experience; B2B experience a plus
- Excellent organizational, planning and project management skills
- Good written and oral communication skills required
- Ability to perform well in a team environment and manage multiple deadline-driven projects
- Must be flexible and solution-oriented with excellent time management skills and the ability to multitask
- Excellent computer skills, including proficiency with Word, PowerPoint and Excel
- Ability to collaborate effectively with colleagues and vendors at all levels to meet business goals
- Flexible personality and quick learner who operates with a sense of urgency
- Highly organized self-starter
- Knowledge of social media platforms as well as email marketing tools preferred
Pay Range:
Minimum $60,000.00 - Maximum $80,000.00
