Job description
The Event Coordinator is responsible for the administrative support and management of events at Ford Center and surrounding areas at The Star, including but not limited to the scheduling, coordination, and facilitation of those events, and managing event staff. Events include NFL training camps, collegiate and high school football games, concerts, motor sports, conventions, conferences, and consumer shows. The Event Coordinator reports to the Event Manager.

Job Duties:
  • Overall active contributor to the Event Operation Team; effective communicator across all levels of the organization and with vendor partners
  • Compile, compose, and publish event production notes for facility events
  • Assist the Event Operations Team with the planning, coordination, and execution of major events
  • Serve as event operations management representative for events as assigned
  • Facilitate the ongoing coordination among different departments to ensure the effective, efficient, and safe operation of event activities
  • Generate various event documents (including, but not limited to event diagrams, event information sheets, instructions for event clients, and different event constituent groups)
  • Provide clients and affiliated departments with necessary pre-event and post-event correspondence
  • Research vendor and competitors’ costs as it pertains to event planning
  • Create staffing plans for events and oversee staffing provider
  • Assist in the management of Ford Center event calendar and associated data for scheduling software
  • Assist in the preparation of budgets relative to events and event operations
  • Ensure a safe, clean, and friendly environment for guests, participants, and staff
  • Perform other functions and activities as directed
Qualifications:
  • Degree in Business, Communications, Sports Management, or a related area of study preferred
  • 2+ years of experience in an event management role coordinating and overseeing events at a major market arena (professional sports), stadium or venue of a similar size
  • Advanced skills in the use of Microsoft Office (Outlook, Word, Excel, PowerPoint, Visio) preferred
  • Excellent interpersonal, verbal, and written communication skills; ability to communicate effectively at all levels both internally and externally
  • Able to simultaneously manage a high level of detail across multiple projects
  • Able to demonstrate flexibility and quickly adapt to changes while maintaining high levels of productivity and effectiveness under pressure
  • Able to work well within a team environment, offering assistance and support to team members whenever necessary
  • Able to balance internal priorities with client expectations
  • Able to work flexible hours, including nights, weekends, and holidays
