Executive Assistant/Analyst

Masonic Villages of Pennsylvania - Elizabethtown Campus - is immediately hiring a Executive Assistant for a Full Time position working Monday - Friday, 8am - 4pm.

What You'll Do:

As a Executive Assistant/Analyst, you will carry out our Mission of Love by assisting the officer/executive, corporate or department director/administrator in the execution of his/her responsibilities and provides comprehensive and diversified administrative support services in a professional and organized manner.

Our Executive Assistant/Analyst is responsible for the following:

  • Prepares and/or composes correspondence, reports, memos, manuals, budgets, etc. using word processing software.
  • Works as Masonic Village liaison with bond legal counsel and banks on all bank agreements/credit enhancement agreements and Letters of Credit.
  • Develops various financial graphs, presentations, spreadsheets, and request for proposals that are utilized by senior management and Masonic Village Board of Directors
  • Serves as Program Administrator of the Corporate Credit Card program. Maintains appropriate documentation and represents Masonic Villages as liaison with Bank of America.
  • Assists CEO & COO's office with special financial projects and research related to litigation, mergers and acquisitions.
  • Maintains and monitors critical deadlines of PILOT payments, sales & use tax exemption filings and other regulatory filings
  • Coordinates the renewal of the Bureau of Charitable Registrations filing in multiple (39) states for Masonic Village and other entities as required.
  • Maintains appropriate files for Committee on Finance and Library & Museum portals for Board Meetings.
  • Schedules and maintains calendar of appointments and meetings for the Chief Financial Officer and other Finance Leadership team members.
  • Coordinates and prepares materials for meetings and activities.
  • Maintains a follow-up file and does follow-up calls for pending items for the Chief Financial Officer and other Finance Leadership team members.
  • Coordinates departmental special projects and maintains files for projects as directed by the Chief Financial Officer.
  • Provides administrative support to the Finance and Purchasing & Materials Management Department as necessary.
  • Answers telephone in polite, professional manner. Records and delivers messages as necessary.
  • Greets visitors, residents, and employees coming into the office and answers their questions, or directs them to the appropriate department.

What You Have:

  • High school graduate or equivalent thereof with an emphasis on business curriculum and/or secretarial skills.
  • Five years experience in all phases of executive secretarial duties, including additional business courses. Preference in a Finance/Accounting office setting.
  • Advanced computers skills required (Office 365, Microsoft Word/Excel, etc.)
  • Strong communication and organizational skills, multi-tasking and the ability to work independently with little supervision.
