Executive Assistant

With a primary responsibility of supporting the President, provide support to the executive team as directed to ensure that company goals and objectives are accomplished, and operations run efficiently

The executive assistant will provide assistance that empowers our senior leadership. The ideal person for the job will be a proactive problem solver with exceptional communication skills and a meticulous attention to detail. Given the changing nature of the executive landscape, we rely on our assistants for flexibility and foresight, while maintaining confidences related to high-level systems and operations. Maintain and refine internal processes that provide support to the executives company wide.

Reports to:

President and/or CEO

Roles and Responsibilities:

· Assist leadership in tracking key operational metrics by organizing and compiling data, researching facts, and coordinating information retrieval.

· Assist with contract administration as needed.

· Assist with the maintenance of marketing and social media platforms.

· Coordinate internal and external resources to expedite workflow

· Coordination of meetings, and monthly reporting

· Ensure that executive leadership is informed of priorities, deadlines, and challenges.

· Independently perform special projects that require a combined knowledge of administrative needs and technical operations.

· Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business

· Manage professional and personal schedules, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics

· Manage communication between upper management and employees, liaising with internal and external executives on various projects and tasks

· Manage, coordinate, and arrange travel and travel-related activities, including hotel booking, transportation, and meal coordination

· Organize team communications and plan events, both internally and offsite

· Perform administrative and office support, such as typing, spreadsheet creation, emailing, and maintenance of filing system and contact database

· Plan and orchestrate work to ensure the Presidents priorities are met, organizational goals are achieved, and best practices are upheld

· Provide back-up administrative support to other departments as necessary.

· Other duties as required.

Experience and Qualifications:

· 5+ years of experience supporting administrative functions at the executive level

· Bachelor's degree or comparable experience

· Construction experience preferred

· Ability to thrive in a fast-paced environment and operate with a high sense of urgency

· Ability to operate independently with minimal supervision.

· Ability to show and demonstrate on a consistent basis initiative, professionalism, poise and flexibility and work within an environment of frequent interruptions, conflicting priorities, and varying workloads

· Ability to observe strict confidentiality in all aspects of services provided

· Highly developed written communication skills, including report writing, presentations, email correspondence and verbal communication skills, particularly in dealing with people of diverse backgrounds

· Strong interpersonal skills with the ability to interface effectively with a wide variety of internal and external clients

Job Type: Full-time

Pay: $50,000.00 - $55,000.00 per year
