Are you looking to expand your Executive Assistant experience to the C-suite? Timberline Construction Corp. is growing and looking to add to our team. The Executive Assistant will handle a wide range of administrative and executive support-related tasks with little or no supervision. The ideal candidate will be a team player that can manage multiple projects in a fast-paced environment with the ability to exercise sound judgement.

What You Will Do:


Relationship Management

  • Act as a liaison between CEO and clients/employees/etc. to facilitate work and accomplish objectives in a collaborative effort. Maintain good communications with senior management team.
  • Manage the CEO and Senior Leader's calendar; schedule and coordinate appointments/conference calls and meetings, confirm changes or delays with all parties. Provide meeting prep materials.
  • Make travel arrangements for CEO and senior managers.
  • Answer, screen and direct telephone inquiries, taking messages as necessary.
  • Greet visitors and determine whether they should be given access to specific employees.
  • May also handle some personal work life matters for CEO.


Administration

  • Develop and edit business documents, letters, reports and all other correspondence requested by CEO and Senior Leaders from the draft stage to client-ready work.
  • Copy, distribute, ship and receive documents for CEO and Senior Leaders.
  • Prepare agendas and make meeting arrangements.
  • Screen and prioritize CEO's emails, correspondence, submissions and reports. Prepare responses to routine inquiries.
  • Coordinate CEO's signing of time sheets, vacation forms, travel authorizations, cash advances, check requests, expense reports, and invoices.
  • Organize and maintain workable filing system.
  • Conduct research and compile data as requested.


Work Flow Management

  • Assist CEO and Senior Leaders in overseeing project priorities.
  • Give CEO and Senior Leaders heads up to any workflow related issues/new request.
  • Review operating practices and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures.


Corporate Culture And External Presence

  • Ensure CEO and Senior Leader's visibility and prioritized accessibility to entire company and external constituents.
  • Collaborate with Marketing and HR on corporate morale events (i.e., anniversary parties, new work showings, award celebrations, and other staff get-togethers).


Office Management

  • Act as a go to resource for all conference rooms with respect to scheduling, av systems and tidiness.
  • Maintain the conference call account and work with HR for tracking new hires and terminated employees from the system.
  • Perform general office duties.


What You Will Need:


  • Associates or Bachelors degree.
  • 10 to 15 years of work experience as an EA to a C-Suite or Senior Level Executive (preferably in construction management).
  • Ability to anticipate executive needs and bring people and resources together.
  • Professionalism with a strong attention to detail.
  • High level of discretion and confidentiality.
  • Full knowledge of PC computers, and MS Office (Word, Excel, PowerPoint, etc).
