KARL STORZ is currently seeking an Executive Assistant to join the Compliance department supporting entities in North America. This position is based in El Segundo, CA, and will report to the VP & Chief Compliance Officer for KARL STORZ North America.
The primary responsibility of this position is to provide executive administrative support for the Chief Compliance Officer, as well as the Compliance department in accomplishing its goals and objectives through an understanding of the Compliance team’s operations, culture, and policies and procedures. We're looking for someone who can understand the priorities of the business and apply strategic thinking, see the “big picture,” and excel in working diplomatically with different personalities among upper management and employees at all levels. The ideal person for this position will be a detail-oriented problem solver who will also contribute fun and creative approaches to team activities and morale.
KEY RESPONSIBILITIES
Key responsibilities will include, but are not limited to:
- Collaborating with business partners at all levels, both locally and globally, including other Executive Administrators and Executives within KARL STORZ.
- Handling various administrative duties to support and enhance the efficient office and department operations, including complex scheduling logistics, extensive calendar management, sending reminders, as well as the management of content and flow of information.
- Creating, editing, and proofreading emails, memos, correspondence, spreadsheets, and other written material to ensure accuracy, neatness, proper spelling, punctuation, and grammar, and to improve readability and clarity.
- Maintaining professionalism and strict confidentiality with all materials, including in potentially transcribing dictation of a technical or highly confidential nature.
- Assisting in planning meetings (live, videoconference, and conference calls) and developing agendas.
- Assisting in ordering equipment and supplies for the department, handling catering orders, and organizing department events.
- Managing, coordinating, and arranging travel and travel-related arrangements, including lodging, transportation, and meal coordination.
- Preparing and filing expense reports and managing the department’s purchase order process and processing of invoices.
- Developing and maintaining an understanding of KARL STORZ business activities, including organization, workflow, and operations.
- Assisting with and collaborating in the development, review, and implementation of companywide or functionally specific policies, processes, programs, and/or training.
- Using discretion in answering and screening email and telephone calls, including responding to or routing inquiries to the appropriate personnel or department as applicable.
- Bringing to management’s attention matters of major importance.
- Providing periodic and short-term relief to other Executive Assistants.
- Other duties as assigned.
REQUIREMENTS
- 5 years, minimum, related experience as an Executive Assistant, office manager or administrative assistant at a law firm or in-house legal and/or compliance department.
- Demonstrated ability to manage multiple priorities and projects with excellent follow-through to meet deadlines.
- Superior common sense, judgment, pragmatism, tact, diplomacy, and professionalism.
- Exceptional organizational, analytical, and interpersonal skills.
- Strong presentation and written and verbal communication skills.
- Passion for business integrity with a strong ethical center and impeccable track record.
- Ability to work in a team-oriented environment and be flexible, adaptable, and responsive to colleagues at all levels.
- Ability to work with outside counsel and interact with senior management.
- High level of familiarity with standard office software and the ability to learn new job-related systems and software.
- Proficient in Microsoft Suite including Word, Excel, and PowerPoint.
- Ability to type accurately using standard business vocabulary and grammar.
- Ability to work effectively with all levels of employees and external contacts.
- Ability to influence others; handle conflict appropriately, know when to delegate issues upward and when to apply common sense.
Preferred but not required:
- Bachelor’s Degree
- Advanced PowerPoint and Excel skills a plus
- Experience with SAP
- Experience with Concur
- Experience working with senior executives (e.g., Senior Directors, VPs, and above).
- Excellent written and spoken German language business communication skills.
