Executive Assistant to Senior Staff

As Ohio’s Secretary of State, Frank LaRose is doing his part to deliver a thriving democracy and a prosperous economy for all Ohioans. In his role as the state’s chief elections officer, he’s working to ensure that Ohio’s elections are both secure and accessible. And, as the first stop for new businesses in the Buckeye State, he is assisting entrepreneurs as they receive articles of incorporation for a new business.

The Ohio Secretary of State is currently seeking candidates for an Executive Assistant to Senior Staff. The duties of the position include but are not limited to:

  • Directly provides administrative services to Chief of Staff and other senior team members, by managing office calendars, scheduling meetings, answering & responding to phone calls, emails & routine requests; drafts correspondence; researches inquiries; compiles data to prepare reports; proofs documents, correspondence & reports for accuracy; sorts & routes mail; greets visitors; provides assistance on special assignments & projects as directed.
  • Assists the senior team by preparing event spaces (e.g., coordinate & confirm events, locations & equipment needs); transcribe meeting minutes & notes for actionable items; assist with management of correspondence & communication of event details.
  • Serves as Project Manager on various office projects to include coordination of responsibilities & tasks ensuring deadlines are met in a timely manner; schedule meetings with project teams & identify areas of concern to resolve; receive & distribute principal level correspondence; perform other duties as assigned.
  • Coordinate ongoing initiatives at the Chief of Staff’s direction. Assists the senior team with various special projects as assigned.

Unusual Working Conditions

  • May require travel throughout State of Ohio & overnight stay.
  • Must be willing and able to secure a valid driver’s license or supply own transportation.
  • Unclassified per ORC 124.11 (A) (2), (9).
Qualifications
Preferred Qualification:
  • Excellent written and verbal communications skills.
  • Solid organizational skills including attention to detail, multitasking and time management.
  • At least one year of experience of independently managing special projects and tasks.
  • At least one year of experience working with various software applications and Microsoft Office (Teams, Excel, PowerPoint, and Word).

Knowledge of agency policies and procedures*; office practices and procedures*; government structure and process*.

Ability to interpret variety of instructions in written, oral, picture or schedule form); deal with many variables & determine recommended specific course of action; use proper research methods in gathering data; gather, collate & classify information about data, people or things & handle routine & sensitive inquiries from & contacts with officials & general public.

ompensation and Benefits:

Compensation is commensurate with experience. Secretary LaRose believes in supporting employee development and growth at the Secretary of State’s Office. The office offers an Employee Development Program, which allows employees to receive tuition reimbursement up to a maximum of $3,000 per fiscal year and reimbursement for professional development events up to a maximum of $1,500 per fiscal year.

The final candidate selected for this position will be required to undergo an Unclassified Sevice background check and a criminal background check.
