Responsibilities:
- Provide administrative support including coordinating logistics, schedules and travel arrangements.
- Maintain a professional appearance and demeanor at all times
- Represent the COO and the organization in a professional and mature manner at all times. Serves as a back up for the Executive Assistant to the CEO.
- Assist in the preparation of materials for Board and executive team meetings.
- Execute a variety of routine and complex administrative duties in support of the day-to-day operations of the Chief Operating Offficer.
- Provides calendar and scheduling coordination, ensuring the most effective use of the president and COO’s time. Choreographs complex projects/processes/events and ensure that all facets of travel are flawless.
- Meets with COO to review schedule; ensures that materials for meetings are received on a timely basis and are relevant, complete and accurate. Detailed and thorough planning of logistical arrangement for travel providing all required documentation including printed planned activities, directions etc.
- Schedule and set-up for all Board meetings/functions.
- Act as a liasion between Coo and internal and external customers
- Serves as a liaison to Board members, providing assistance as required.
- Takes Board meeting minutes as required.
- Perform other duties as assigned

Job Summary:
Executive Administrative Assistant to the Chief Operating Officer and Executive Team will manage a wide range of support functions. Provides high-level administrative support and assistance while interacting with executives, employees, and clients at all levels with a high degree of professionalism and confidentiality is crucial to this role. Serves as the back-up for the CEO’s Executive Assistant. Must be proactive and have a flexible schedule to accommodate changes. Maintains the highest level of confidentiality with sensitive information and while working under tight and often competing deadlines.
Task Responsibilities:
*Include but are not limited to:
· Provides high-level administrative support and assistance such as writing and editing e-mails, drafting memos, and preparing communications on behalf of the executives.
· Execute a variety of routine and complex administrative duties in support of the day-to-day operations.
· Coordinates logistics, schedules, and travel arrangements.
· Communicates with internal and external stakeholders and composes written communications and presentations.
· Maintains frequently changing calendars and extensive contact lists.
· Prepare materials for Board and executive team meetings. Serves as a liaison to Board members as required.
· Organize various meetings, including scheduling, sending reminders, and coordinating catering.
· Proactively anticipates needs and issues; recommends and takes action to resolve challenges.
· Maintaining comprehensive and accurate records
· Completes minor accounting duties.
· Processes and screens incoming and outgoing communication and correspondence to ensure proper dissemination of information.
· Works outside of normal business hours on occasion to support statement of work
Minimum Education and Experience:
Required:
- A High School diploma/GED and 5 or more years' related work experience providing administrative support to multiple customers such as executives, managers, and staff members, or an equivalent combination of education and experience (e.g., vocational school/Associate +3 years' related work, Bachelor+2 years' related work, etc.)
- Minimum of 3 years’ experience coordinating schedules, making business travel arrangements, and preparing executive level board and/or meeting minutes.
- Excellent problem solving, decision making, organization and time management skills.
- Must be able to work efficiently with a high level of autonomy
- Experience working in a Healthcare or Non-Profit environment is a plus.

Job Type: Full-time
Pay: $42,000.00 - $48,000.00 per year

Schedule:
- 8 hour shift
