The Team
The vision of Global Financial & Accounting Services (GFAS) is to provide innovative and scalable global business solutions in accounting, tax, payroll, treasury, strategic sourcing & procurement, and financial operations while safeguarding the reputation of the foundation and our related entities & affiliates, with the highest standards of integrity and operational excellence.Global Financial & Accounting Services (GFAS) is a division within the Finance organization at the foundation and an important part of the operations function. Operations supports and enables the five program teams to make investments and to run effectively and efficiently. As a function, Finance employs approximately 100 FTE’s. The GFAS division is significant (40+ FTE’s), and responsible for financial reporting processes, technical and advisory services, internal controls, strategic sourcing & procurement, and the accounting functions at the foundation.
The Expense Associate will report to the Senior Manager of Global Accounts Payable to support day-to-day Travel and Expense (T & E) program activities globally providing excellent user experience.
Your Role
The Expense Associate will work in partnership with the Foundation’s outsourced provider to ensure expenses are audited for accuracy, policy adherence, and receipt validation. Additionally, the Expense Associate will review expense report submissions to ensure compliance to T&E policy.
What You'll Do
- Answer escalated expense questions and provide superior customer service to our cardholders.
- Coordinate with the Corporate Travel Program Team to implement initiatives that improve the end user experience.
- Offer process improvements that enhance the user experience and automate compliance review against T&E policy.
- Create ad-hoc reporting as requested, utilizing Concur Cognos reporting, Advanced MS Excel, and Power BI Reporting.
- Lead group or individual trainings for employees.
- Performs other duties as assigned.
Your Experience
- Experience working under pressure, often in a deadline driven and fast paced environment.
- Strong initiative, organization skills and ability to work autonomously and cross-functionally while remaining flexible to changing tasks and priorities.
- Proven ability to bring work/projects to completion by quickly learning relevant information with minimal direction.
- Excellent verbal and written communication skills and ability to influence and engage staff and external partners at all levels.
- Solid analytical and problem-solving skills.
- Strong report writing skills, working with large data sets, macros, etc.
- Intellectually curious with solution orientation and the ability to identify new ways of working.
- Understands end-to-end process management, including organizational change and internal controls.
- Proven ability to build positive relationships and credibility with clients and key decision makers.
- Demonstrates professional courage, asks hard or unpopular questions, and is willing to say no.
- Proficient with Microsoft Office Suite or related software.
- Proficiency with SAP/Concur expense platform preferred.
- Bachelor’s or other advanced degree or 3+ years of relevant experience.
The typical salary range for this role is $92,000 to $100,000 USD. The exact offer will be determined by a variety of factors such as the candidate’s individual skills, qualifications, and experience relative to the requirements of the role.
