The Department currently has an opening for one permanent full-time Facility Administrative Assistant (Administrative Specialist 2) within the Facilities section of ODVA in Salem, Oregon.
This position does not currently support a remote work schedule. There may be times special projects assigned to this position will allow some remote work. Remote work is evaluated periodically to ensure business needs are being met and can be adjusted at any time. Please visit the state’s

What you will do as a member of the ODVA team
As the Facility Administrative Assistant, you will advise the Facility and Construction Project Manager, Chief Financial Officer (CFO) and the Agency Director by providing clarification and guidance on the rules, laws and procedures that govern the various programs that includes the Continuity of Operations Plan (COOP). This position is required to monitor, communicate and maintain the Governor mandate report on the Continuity of Operations Plan (COOP). The COOP is a living document. This position is required to update the COOP as new laws, policies and programs are implemented This position performs and coordinates administrative tasks in support of the ODVA Facility Services operations.
The Facility Administrative Assistant will coordinate activities to ensure a smooth flow of services and operations which may include tracking, scheduling and delivery of services. This position receives all incoming supplies and equipment for the agency; enters information into the State Financial Management System (SFMS); and maintains and conducts periodic/annual inventory of all fixed assets, including the Oregon Veterans Home located in The Dalles, and Lebanon Oregon. Work requires the interpretation of agency/state policies to determine required actions, and independent follow through with selection and application of appropriate processes and procedures. This position develops administrative reports and programs for tracking section activities and agency facilities' maintenance. The position also provides back-up duties for the Procurements Contract Specialist, assists other Facility Services positions as needed, and provides administrative support for the Facility and Construction Project Manager.

MINIMUM QUALIFICATIONS:
Two years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. Administrative support includes those duties beyond clerical/secretarial such as: interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations;

An equivalent combination of training and experience.
One year of postsecondary education may be substituted for up to one year of experience.
