Summary

Department Summary

The University of Michigan (U-M) University Health Service (UHS), a unit of Student Life (SL), is an AAAHC-accredited outpatient multispecialty health clinic that serves a large and diverse student body of more than 45,000 students, as well as U-M faculty and staff. UHS provides direct patient care through its primary care and specialty clinics, and contributes to public health, epidemiologic surveillance, health education and promotion on campus. UHS reports administratively to the AVP of Student Life for Health and Wellness, uses the same instance of Epic (MiChart) as Michigan Medicine, and closely collaborates with Michigan Medicine and public health agencies.

UHS provides clinical services throughout its primary care and specialty clinics, as well as health and wellness education and promotion. Specialty clinics include: Allergy, Dermatology, Eating & Body Image Concerns, Eye Care, Gynecology & Sexual Health, Nutrition, Physical Therapy, Psychiatry, Sleep, Social Work, Sports Medicine, and Travel Health. Patient care is additionally supported through an on-site CLIA high-complexity laboratory, pharmacy and radiology suite. Annually UHS completes >90,000 clinician visits, >4,900 radiologic studies, >35,000 laboratory tests, and fills >25,000 prescriptions.

Job Summary

The Facitlties Assistant will assist with building maintenance and security issues, such as visual inspections of building condition and daily observation if possible maintenance issues; support the Stockkeeper with deliveries, including distribution of incoming and outgoing packages; monitor the dock entrance door via intercom system; support various departments in the building with purchasing duties, such as contacting vendors regarding backorders and quotes.

Responsibilities*

Facilities Operations 45%

  • Monitor dock entrance via Aiphone intercom system by using a master station at desk to see who is at the door, talk to them and buzz them in if appropriate.
  • Respond to inquiries and complaints and resolve problems regarding facility operations received from staff.
  • Coordinate and schedule the performance of facilities services on regular or special request basis, including cleaning, trash handling, pest control, moving and storage of equipment and supplies, grounds, painting, phones, security and general maintenance of building.
  • Work closely with UHS staff to ensure support services are provided efficiently and consistently.
  • Prepare assigned work orders for completion of repairs, keys, phones and other building related activities to be submitted to the plant department for processing.
  • Maintain an on-line key security system for the entire Health Service.
  • Assist in the development of annual alterations and building maintenance budgets.
  • Assist in scheduling of utility shutdowns in accordance with occupant needs.
  • Establish and modify record keeping of procedures, manuals and systems. Assist with the development and documentation of procedures manual and other guidelines and policies.
  • Participate in meetings and discussions pertaining to building projects as required.
  • Assist with the coordination of renovation projects, staff office moves, and equipment moves.
  • Perform visual inspections of building condition and daily observations of possible maintenance issues.
  • Liaison with custodial, maintenance, facilities management, key office, telecommunications and grounds department.
  • Various campus deliveries and pickups using a University vehicle as directed by supervisor.
  • Other duties may be assigned.

Building Operations Office Support Duties 45%

  • Maintain conference/meeting room calendars. May include arranging and/or helping with room set-ups.
  • Maintain, originate and update project files.
  • Make, create and post signage for various situations (e.g. special clinics, holiday closings).
  • Answer telephone, emails, open and distribute mail for Building Operations.
  • Order supplies, services and equipment.
  • Enter inventory item additions/changes/deletions into CUIT template and send to the Michigan Medicine Supply Chain department to update inventory.
  • Updates inventory additions/changes/deletions at Business Unit Level.

Stockroom Support Duties 10%

  • Provide back-up coverage overseeing, dock and deliveries, including distribution of incoming and outgoing packages.

Required Qualifications*

  • High school diploma or GED is required.
  • Minimum of at least one month of experience in facilities service work.
  • Must possess a valid driver’s license, checked for points.

Desired Qualifications*

  • Experience with Mpathways.
  • Knowledge of the methods, materials and equipment used in the maintenance and operations of a medical care facility.
  • One year experience in the performance of facilities service work.

Working conditions

The ability to move and transport objects weighing up to 50 pounds and moving throughout a 4-story building.

Work schedule

This is a full-time 40 hours/week position with working hours that coincide with weekday UHS business hours (generally Monday–Friday, 7:30am–4:30pm).

Authorization to work in the U.S. is a precondition of employment and applicants for this position will not be sponsored for work visas.

$42,750 - $51,300 - Salary may vary depending on qualifications, experience, and education of selected candidate.

Relocation will not be offered for this position.

Selected candidates whose start date is 4/1/23 or after, will not be eligible for the university salary/merit plan in 2023 unless otherwise notified.
