Job Description*
POSITION SUMMARY*:
This position is part time (22 hrs. per week)
- The First Impression Specialist *is responsible for greeting guests of the organization; responding to phone call inquiries for Counseling and Parenting Time Programs; routing phone calls throughout the agency; receiving and processing payments for services; provide weekly reports to include the weekly sign-in sheet for Leadership Team; process Trans-parenting book orders; process daily incoming mail; maintain confidentiality related to aspects of client, staff and agency information; composition of routine letters regarding specific inquiries; gathering and documenting basic information, preliminary determination of the agency's ability to provide needed services, and assignment of the first appointment in our counseling platforms or making an appropriate referral to other community resources.
PRINCIPAL ACCOUNTABILITIES BUT NOT LIMITED TO:
- Answers calls promptly, gathers basic information accurately, route calls appropriately
- Answer inquiries about the company
- Greet visitors warmly and make sure they are comfortable
- Call persons waiting for visitors
- Schedule meetings and conference rooms as requested
- Demonstrate ability to respond appropriately to the cultural differences among the Agency's service population
- Make assessments during in-person or telephonic request for initial appointments to determine that their needs can be met by Families First services; refers callers to other agencies when their needs cannot be met by the Agency
- Maintains current knowledge of agency programs and associated eligibility; obtains and enters insurance benefits of clients; knowledge of fees and schedules, and community resources for client referral
- Assists in maintaining consistency of style and method, both in representing the Agency to the public and in collecting client information
- Enter client Payer Information for all self-pay clients and payer authorizations for all clients as needed
- Assist members of Executive Administration with scheduling and preparing for Agency meetings
- Upload postage and process DVs for payment
- Process requisition orders for office supplies for agency staff members and departments
- Ensure the front lobby is clean and presentable for guests, clients, and staff
- Keep kitchen and break rooms clean and stocked with appropriate supplies
- Set up meeting rooms for internal and external meetings
- Assist with organizing outside meetings with the agency
- Train additional employees to provide relief for front desk personnel
- Keep vending machines full and abundant with snacks
- Assist staff members and guests with acquiring and setting up meeting spaces
- Direct and organize donations given to the clothing room
- Help organize and catalog donations from outside vendors
- Always ready and willing to assist others
- Other duties as assigned

Qualifications*
QUALIFICATIONS: *
Candidate must be at a minimum, a high school graduate with computer, data entry, and system management skills. This person must also possess a sense of service to the community and have knowledge of potential resources for client referrals. Exceptional communication skills and a highly cooperative attitude are required. Bi-lingual a plus.
