Chicago Cosmetic Surgery and Dermatology located in beautiful River North (across from Nordstrom, off Red Line Grand Stop), is looking to add Patient Entry (Check in/out) staff to our Dermatology and Plastic Surgery practice of 5 MDs, 4 PAs, and 3 estheticians.

Our office continues to expand ( and this is an exciting opportunity to join a successful and innovative cosmetic and general dermatology practice.

Our ideal candidate must possess a positive attitude, be energetic, a team player, detail-oriented, and enjoy interacting with people. The ideal candidate has a background in a medical office/hospital, retail, hospitality, and/or customer service role.

Position Summary:

Responsible for greeting and registering all patients/visitors to the practice at our front desk, or completing the visit within our check out, skin care store area. Serves as a liaison between the patient and clinical staff. Participates in staff meetings and follows the general policies and rules of conduct as outline in the employee handbook.

Dress code: Full attire to be all in black, business casual, along with your department uniform jacket that will be issued to you upon hire. No jeans or open toe shoes.

A uniform allowance for scrub tops and jacket tops is up to $200.00, and is available after your introductory period.

Essential Functions:

Front Desk Check In/Check Out-

  • Greets and welcomes all new patients and visitors to the practice using excellent customer service skills.
  • Presents forms (paper and electronic) to be filled out, provides any assistance needed by patient.
  • Scans driver’s license/photo identification and both sides of insurance card(s), verify current information on file is accurate and up-to-date.
  • Verifies and updates all demographic and insurance information on established patients.
  • Provides registrations forms/consents to patients to read and sign.
  • Provides HIPAA Privacy Notice to patient, along with acknowledgement form for patient’s/legal guardian’s signature.
  • Accurately and efficiently enters all demographic and insurance information into the practice management system (NexTech).
  • Collects past monies due upon the patient’s arrival for their appointment.
  • Schedules all appointments in a professional, accurate and courteous manner, following template guidelines.
  • Monitors and modifies providers’ scheduling templates as necessary to maximize efficiency.
  • Is responsible for all areas of patient check in and check out.
  • Obtains insurance eligibility on all general dermatology patients at least two days prior to their appointment.
  • Checks out patients and collect appropriate monies due (payment for cosmetic procedures, co-pays). Schedules follow-up appointments.
  • Accurately enters all patient charges into the practice management system.
  • Posts any collected monies to appropriate line items.
  • Explains all charges to patients including any fees they will be responsible for (if patient is responsible for deductible after checking benefits).
  • Keeps patients informed of any delays in being taken back by clinic staff.
  • Answers telephone, obtaining appropriate information such as name, nature of call and then route to appropriate person.
  • Completes daily batch reconciliation.
  • Balances charges and collections showing in computer against encounter forms and all money collected.
  • Counts change drawer and assures that all money is accounted for. Notifies the Patient Entry Coordinator, Revenue Cycle Supervisor, or Practice Administrator immediately if there is a discrepancy (over or under).
  • Puts finished deposit and balance sheets in cash box.
  • Maintains orderliness of waiting area throughout the day, paying attention to the neatness of magazines, brochures, binders and removing items discarded by patients.
  • Assists in the training of new Patient Entry staff.
  • Maintains professional image through appropriate attire and grooming.
  • Performs other duties as needed.

Requirements:

  • Treats all patients and other staff members with respect, is polite and professional, and keeps patient information private and secure according to HIPAA.
  • Ability to effectively triage administrative requests from patients to ensure appropriate scheduling and outcomes.
  • Excellent customer service, communication skills and telephone etiquette.
  • Ability to understand patient’s needs and concerns.
  • Ability to work as a team member.
  • Ability to manage multiple tasks simultaneously.
  • Organized with attention to detail.
  • Computer proficiency.
  • Knowledge of medical terminology.
  • Knowledge of CPT and ICD-10 coding.

Education:

High school diploma or equivalent.

Experience:

Two years minimum experience in a medical practice, hospital, customer service, retail or hospitality environment setting preferred. Willing to train the right candidate.

Our patient office hours are Monday- Thursday 8:00am-6pm, and Friday 8:00am-5pm. This is a full-time position (36-40 hours a week). Staff typically work four day work days (9-10 hours per day).

We offer BCBS medical, dental, vision, Aflac, and retirement benefits with 3% employer match after an introductory period. Personal time off (PTO) is earned each pay period at a rate determined by the amount of years worked. PTO accrues based on hours worked and can be used after three months of employment. Staff employed receive 3.5 weeks to 5.5 weeks of PTO/year. PTO is vacation and sick time combined to use however you wish.

Hourly wage depends on experience.
