Position Summary

The Front Desk Assistant Manager role at Caldera House is a multifaceted position that includes responsibilities of a front- desk agent, concierge, supervisor, and reservations attendant. In any given shift you will be expected to complete the tasks of all facets of this job description and provide exceptional leadership. The goals of this position are to greet guests in a welcoming manner and assist them with any questions, directions or comments they may have, and lead your time to do the same. The Concierge team you lead assists guests before and throughout their stay, and offer guests exceptional service and assistance in making reservations for dining and activities while simultaneously maximizing sales and revenue.

Essential Duties

  • Have a thorough and extensive knowledge of the hotel property, the Jackson area, and activities throughout the valley
  • Assist the front desk manager with MOD shifts and maintain accountability for the hotel during those times
  • Supervise all guest itineraries and ensure details are fine-tuned and thorough
  • Maintain constant guest communication prior to and throughout their vacation, with a focus on being prepared and proactive
  • Ensure all items have properly been posted to the guest folio and billing for the front desk is accurate and up to date
  • Provide hands-on support during busy arrival/departure periods and group movements, be a dynamic team player willing to step into any role to assist
  • Prevent problems and handle stressful situations in a professional manner, ensuring guest satisfaction and resort profitability, while balancing team communication
  • Ensure work is efficient, courteous, and professional
  • Ensure guests' needs and concerns are responded to in a timely, professional and friendly manner with a focus on service recovery when applicable
  • Perform front desk agent duties as necessary, such as registration, check out and processing room reservations for guests
  • Assist employees with questions and problems as they occur, help train new employees to superior guest service standards
  • Ensure all elite, VIP, and repeat guests are identified and recognized
  • Manage petty cash and credit card totals to ensure accuracy
  • Ensure that all safety and security policies and procedures are followed
  • Maintain an up to date working knowledge of all property amenities as well as any special events
  • Maintain excellent and professional communication standards both over the phone and via email
  • Utilize various computer systems and programs and be proficient with Microsoft Office
  • Ability to work a flexible schedule including nights, weekends and holidays as needed

Qualifications:

  • 3+ years of previous customer service experience required, with a focus on luxury or high end service
  • Previous experience as a Lead/Chef Concierge or in Front Desk Agent/Hotel leadership
  • Previous leadership in other departments an asset
  • Previous reservations and sales experience an asset
  • Positive phone demeanor and superior written and verbal communication skills are essential
  • Must have a service oriented mindset and be capable of making every guest and member feel valued
  • Exemplify strong organizational skills and attention to detail
  • Possess a positive and authentic attitude and be willing to work as part of a team
  • Willing to work various shifts, holidays and weekends
