General Summary: Under general supervision and according to prescribed procedures, greets patients and parents/guardians, prepares necessary forms, and collects completed forms. Collects demographic information and inputs this information in our practice management system. Following prescribed procedures, orders medical records charts, prepares for appointments, adds appropriate forms to patient charts. Uses the computer system to verify and update patient data and schedule appointments. Performs various clerical duties such as answering telephones, recording messages, copying materials, filing records, etc.

Principle Duties and Responsibilities:

  • Supports the patient-centered medical home (PCMH) by working with patients, families, providers and staff to promote timely access to needed care.
  • Daily Team huddles with Business Office Manager to review the upcoming day’s appointment schedule.
  • Participates in quality improvement activities.
  • Greets patient/families in a positive and helpful manner. Provides directions, information, and other assistance as needed.
  • Greets patients and families to Catawba Pediatrics, provides necessary forms to patient/parent/guardian for completion and signature, reviews same for accuracy, and notifies physician and/or staff that patient is ready.
  • Collects the following data in a structured format in the electronic (EHR) system for all patients. Specific fields in the EHR are designated for gender, race, ethnicity, and language. The front desk also collects date of birth, telephone numbers to include home, work, and mobile, and email address.
  • Answers telephone calls, records messages for physicians and department personnel, schedules patient appointments with the patient/parent’s provider of choice and revises schedule for cancellations.
  • Schedules patients for follow-up appointments with provider of choice, and provides patients/parents with basic information on referral physicians and facilities for further care.
  • Prepares appointment schedules periodically or as requested in order to provide physicians/providers with accurate list of ensuring patient workload.
  • Makes copies of materials and include proper patient data in medical record in order to maintain necessary information.
  • Using the practice management system, generates encounter forms for appointments according to prescribed procedures, reviews encounter form information for accuracy, and updates and/or corrects information as necessary.
  • Maintains and adequate level of office supplies and necessary forms and lets business office manager know when supplies are getting low.
  • Performs various clerical duties such as photocopying forms, reports, and patient’s information, mailing and faxing forms.
  • May perform various special; duties for department such as collecting payments and providing receipts, and other duties as assigned.

Knowledge, Skills and Abilities Required:

  • Interpersonal skills necessary in order to deal effectively and courteously with caller, patients and families, exchange patient related information with a variety of clinical personnel, and interact effectively with physicians and staff.
  • Ability to read and write in order to prepare medical records in the practice management system and HER, generate and prepare encounter forms, and schedule appointments, and to perform simple arithmetic calculation when completing encounter forms and activity logs at the level normally acquired through completion of high school.
  • Post high school and/or previous public or medical experience preferred.
  • Approximately two to three months on the job experience necessary in order to learn department and clinic policies and procedures and order and update patient charts, to become familiar with department personnel and medical terminology.
  • Analytical skills necessary to schedule return appointments, prepare routine schedules and reports.
  • Ability to concentrate and pay close attention to detail when reviewing patient data in computer system, entering appointments, etc.
  • Knowledge of facility and surrounding facilities to assist and direct patients to other locations.

Works in a normal office environment where there are few, if any physical discomforts to dust, dirt, noise, etc.
