Mount Sinai is honored to be the proud recipient of a multi-million dollar grant to establish a large-scale health advisory team, in collaboration with the Government of Guyana, to improve the quality of healthcare and accessibility for every Guyanese citizen.

The Executive Assistant will be responsible for coordinating and managing the Chair's calendar and supporting the administrative needs of the Chair. The Executive Assistant will coordinate meeting scheduling on behalf of the Chair and will work with internal and external administrative counterparts to organize meetings and other events. They will assist in managing Chair e-mail and other communications including drafting and sending routine communications on behalf of the Chair. Provides meeting support including maintaining and sending meeting reminders, organizing meeting agendas, providing video conference support, and preparing meeting minutes. Coordinates visitors including VIPs and serves as the front office representative for the Department. Anticipates the needs of the Chair and assists the Chair in managing key priorities to ensure the success of the Department and Institute.
Roles & Responsibilities:
- Ensures that the Chair’s calendar and travel is well managed and up-to-date
- Represents Chair and Department to external and internal partners in correspondence and events
- Welcomes and hosts visitors to the Department and Institute
- Prepares, reconciles, and submits expense reports on behalf of the Chair
- Attends and organizes internal and external meetings as needed to support the Chair, distributing meeting reminders and agendas in advance, taking meeting notes, preparing meeting minutes, and coordinating follow-up communications as needed
- Assists in planning and organizing events and meetings including coordination with external vendors, venue or facilities partners, IT partners, and others
- Drafts correspondence on behalf of the Chair as needed
- Manages special administrative projects for the Chair as needed
- Completes other duties as assigned
This position may require international travel depending upon department needs
Requirements:
- College degree preferred and or three to five years prior experience in supporting a senior executive or team
- 5 years related administrative or business experience.
This position is grant-funded and or gift-funded and is contingent upon sufficient funding.
