Essential Job Duties
The primary purpose of the Graduate Student Services Assistant is to provide a wide range of administrative support to students, faculty and staff to assist in the accomplishment of graduate-related needs. Serving as the Electrical and Computer Engineering Graduate Program Office’s first point of contact, the Graduate Student Services Assistant sets an important professional tone with the students and must be proficient at responding to student inquiries.

The position greets guests, answers the telephone, and responds to some fraction of incoming emails while working to understand and establish the needs of students, staff, and faculty. When appropriate, the Graduate Student Services Assistant refers students to additional staff within the Graduate Office, including scheduling appointments and escalating phone, walk-in, and email inquiries when appropriate.

The position enters, reviews, and maintains student records, disseminates student information, and reviews student records. Additionally, the position assists the Director and Assistant Director of Graduate Programs with special projects, such as new student orientation, research symposia, recruiting events, dissertation workshop planning, and other special events. These activities require daily contact with students, faculty, staff, and the Director and Assistant Director of Graduate Programs. Proficiency and knowledge of the admissions process and the services provided to current students and alumni is particularly important given that the Graduate office serves over 800 graduate students.

Other Responsibilities
  • Provides backup support to the two Graduate Student Services Specialists during peak periods.
  • Various additional duties and projects as assigned by the Director and Assistant Director of Graduate Programs and as needed to assist in the completion of ECE Graduate Office projects.

Qualifications

Minimum Experience/Education
High School Diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.

Other Required Qualifications
  • Excellent interpersonal skills.
  • Strong verbal and written communication skills including the ability to effectively communicate with faculty, staff, and students.
  • Ability to function well as part of a team and work effectively with faculty, students and other units on campus.
  • High level of motivation.
  • Demonstrated attention to detail and strong organizational skills.
  • Ability to understand and follow policies, rules, and procedures such as those pertaining to student records.
  • Familiarity and/or experience with the Microsoft Office suite (or similar software).

Preferred Qualifications
  • Experience working with graduate or undergraduate students.
  • Experience working with a student information system and familiarity with student records management, including applicable federal regulations that impact confidentiality.
  • Knowledge of PeopleSoft (Student Information Systems and MyPack); Gmail and Google doc.
  • Experience supporting event planning.
