Health Information Management Specialist HS9A91

Job Summary: Serve where needed within the HIM department performing responsibilities as assigned, including: correspondence-demonstrating knowledge of the Privacy Act regulations and Oklahoma Health Laws. Assist pulling/filing charts from terminal digit file, retrieving reports, search for lost charts, storage of records, purge inactive charts, archiving, chart assembly, chart audits, assist scanning reports into Vista when needed.

Primary Tasks:

• Perform release of information tasks, demonstrating knowledge of the Privacy Act regulations and Oklahoma Health Laws. Comply with regulations in answering third-party requests for medical information with no more than 1 error per 25 requests.

• Maintain a correspondence log showing date of receipt, patient name/chart, requestor and date information was released (mailed/faxed).

• You will answer all requests within 5 working days of receipt. Documentation should represent reason for a second request. You will meet standard 95% of the time.

• You will complete 25 requests per day. (3 per hour) Meets 95% of the time.

• Follow established procedures to determine that the authorization is valid and follows procedures for processing third-party requests. Identify and direct all subpoenas to the Director of HIM.

• Follow Procedure for scanning reports into Vista Imaging with at least 98% competency as evidenced by: QA report, 39 reports per hour exceeds standard, 35-38 reports per hour meets standard, 34 reports or less is below standard. No more than 2 errors per 100 documents. Meet this 95% of the time.

Physical Requirements: Sedentary work involves lifting no more than 10 pounds at a time and occasionally lifting or carrying things like papers, books, and other small items. Although a sedentary job is defined as one which involves sitting, a certain amount of walking and standing is often necessary in carrying out job responsibilities. Jobs are sedentary if walking and standing are required occasionally, and other sedentary criteria are met.

Required Education and experience:

MINIMUM

• High school diploma or GED

• One year of experience within an HIM department.

• Requires working knowledge of correspondence, scanning and other tasks within the scope of HIM services.
