SUMMARY

Completes all Release of Medical Record requests for Clark Fork Valley Hospital and Plains Family Medicine Network. Performs deficiency analysis and auditing, compiles statistical data, scans and indexes documents via Onbase.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

• Employee is responsible for processing Release of Information (ROI) requests for all Clark Fork Valley Hospital and Family Medicine Network patient medical records.
• Reviews all Release of Information requests, making sure all requests meet State and Federal regulations.
• Enters all details about released information into Epic system using ROI workflow process.
• Answers phone, directs call to appropriate person if unable to assist caller.
• Retrieves and delivers all mail, correspondence, records, etc. for the Health Information Department.
• Compiles statistical data on a daily basis and completes spreadsheet for month end data collection and reporting. Keep manual records of births in official baby book.
• Conduct internal auditing for required documentation, following up with appropriate staff about missing information and tracking to the point of completion.
• Assist employees and patients with retrieval of information contained in electronic health records and paper charts.
• Scanning documents into Onbase, creating historical encounters as needed in Epic, working interface errors, and identifying and processing misfile corrections.
• Marking patient files for merge as needed. Marking deaths as needed in Epic, Meditech and paper files.
• Responsible for organization and storage of paper charts, tracking and marking them for dates they can be thinned and destroyed.
• Ordering department supplies as needed and general stocking for the department.
• Other duties may be assigned according to department needs.
