Human Resources Assistant

Strittmatter Companies is an established construction company that offers excavation, demolition, and equipment rentals for commercial, government, and residential projects. The Company is located in Manassas Park, VA and this is a full-time in-office position.

The Human Resource Assistant will perform administrative tasks and services to support effective and efficient operations of the organization’s human resource department. This role provides administrative support to the human resource function as needed, including record-keeping, file maintenance and HRIS entry. The Administrative Assistant will perform administrative duties related to the operations of the human resource office.

The successful candidate will have demonstrable skills, be willing to maintain positive working relationships, and exhibit a willingness to learn.

Administrative duties:

  • Perform general HR administrative functions to include printing, filing, copying, scanning, and faxing documents.
  • Conduct or assists with new hire orientation.
  • Organize and maintain HR paperwork and electronic files.
  • Complete I-9 Form, process form using E-Verify, and maintain I-9 records.
  • Process new-hires through VA New Hire Reporting Center.
  • Create new employee personnel files with corresponding documents sorted correctly into each file.
  • Update HRIS database records and process paperwork for new hires, terminations, and other status changes.
  • Answer frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
  • Perform periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  • Recruit for open positions. This includes searching and screening for potential recruits, conducting initial interviews and reference checks.
  • Assist with the administration of employee benefits, which may include collecting and submitting employee information and notice of change in status to health, dental, life, disability, and other insurance carriers or insurance brokers.
  • Assist with 401(k) Retirement Fund administration to include enrollments, changes, terminations, and out-processing.
  • Calculate and provide staff with annual fringe benefit allowance.
  • Plan and support company-wide information events and meetings.
  • Conduct or assist with record audits and mandatory reports, which may include I-9 audits, EEO-1 filings, payroll audits, and other compliance reviews.
  • Assist with or prepare correspondence.
  • Communicate daily with office and off-site personnel via phone or email.
  • Perform other duties as assigned.

Required Skills/Abilities:

  • Excellent verbal and written communication skills.
  • Must have the ability to be fair, compassionate, confident, and firm.
  • Attention to detail in composing, typing, and proofing materials, establishing priorities, and meeting deadlines.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Excellent organizational skills and attention to detail.
  • Proficient with Microsoft Office Suite or related software.
  • Proficient with or the ability to quickly learn the Human Resource Information System (HRIS), and similar computer applications.
  • Ability to operate standard office equipment.

Education and Experience:

  • Associate’s degree in related field required or 1-3 years job related experience.
  • Prior related office experience preferred.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at a time.
