The HR generalist will be responsible for administrative, compliance-oriented, and strategic responsibilities, helping us to plan and administer important functions, such as staffing, training and development, and compensation and benefits. Administrative tasks also known as core HR: include maintaining employee records, administering benefits, employee engagement implementation and providing employee self-service. The HR generalist will also be responsible for payroll processing.
The HR generalist will ensure that they provide regular day to day support to front-line managers. They will ensure that all teams within assigned units are functioning well and have access to all the important resources required for high level of performance. The HR Generalist will be responsible for managing and providing timely resolution to employee-related escalations and providing a report/strategy to prevent employee dis-satisfaction and ensure highest level of employee satisfaction is maintained.
Objectives of this Role
- Process payrolls for assigned accounts and maintain all related records
- Ensure payroll deductions are assigned correctly for all employees of assigned accounts
- Assist in developing and executing personnel procedures and policies, providing guidance and interpretation for business operations
- Participate in development of HR objectives and systems, including metrics, queries, and standard reports for ongoing company requirements
- Assist in administering benefits, compensation, and employee performance programs
- Ensure state and federal regulations and applicable employment laws, and policies and/or procedures relating to employee pay are followed.
- Develops, facilitates, and implements all phases of the recruitment process.
- Screen candidates and conducting interviews and sorting through applicants to fill open positions.
- Collaborates with the hiring manager and during the offer process, identifying and recommending salary ranges, incentives, start dates, and other pertinent details.
- Generate official internal documents such as offer letters, appointment letters, salary slips and warning letters
- Maintain physical and digital files for employees and their documents, benefits, and attendance records
- Evaluate employee performance and appraising their pay scale accordingly
Daily and Monthly Responsibilities
- Complete payroll processing, including bi-weekly and semi-monthly updates to invoicing, employee files, bonus/incentive pay, tracking vacation/sick pay, importing expense reimbursements, inputting exceptions, hourly employee validations, and benefit changes
- Pulling electronic time clocks and reviewing report related to employees’ hours for completeness and accuracy
- Pulling payroll management reports from payroll software system
- Maintain personnel database regarding salaries
- Manage organization budget and expenses
- Ask for confirmation of suggested payments from senior management
- Report to department supervisor regarding daily activities and issues
- Address and resolve employee complaints relating to the payroll system
- Prepare reports to relevant departments about payroll, company budget, invoices, and expenses.
- Prepare periodic payroll reconciliation and submit reports to the payroll manager for review
- Responsible for creating and maintaining invoices for the services that the company provides. They are also tasked with tracking account balances and maintain different payroll reports.
- Prepare paperwork, schedule, and facilitate smooth new hire onboarding process, coordinating with cross-functional departments to deliver an exceptional first-day experience
- Handle all administrative tasks for onboarding, new hire orientation, and exit interviews, including entering data into HR information systems and auditing for accuracy and compliance
- Provide an effective and dedicated HR advisory service to employees in relation to absence and health issues, conduct and capability, grievance matters, organizational change, and all other employee-relations matters
- Assist in the communication, interpretation, and upkeep of employee handbook, employee directory, and organizational chart, and contributes to the development of policies
- Handle other duties as assigned
Skills and Qualifications
- Bachelor’s degree in HR, business, or a related field
- Excellent interpersonal skills
- Previous working experience as a Payroll Specialist for a minimum of 2 years
- System Knowledge of Payroll software, advance knowledge of Microsoft Excel
- Solid understanding of payroll and payroll tax laws required
- Proven facility in MS Office, data entry, and office equipment
- Excellent written and oral communication skills
- Excellent organizational, planning, and prioritization skills
- Suggest ways to update or improve the current payroll system
- Strong organizational and record keeping skills
- In-depth knowledge of general accounting principles and payroll best practices
- Hands-on experience with relevant software (e.g. Kronos, ADP) and databases
- Great attention to detail and confidentiality
- Computer savvy with working knowledge of relevant software (e.g. ADP)
- Excellent communication abilities
