Over the past 25 years, the Space Exploration Sector at APL, has pushed the boundaries of what is possible; delivering game-changing impacts to sponsors like NASA and the Department of Defense. This includes historic, science space firsts like New Horizons reaching Pluto, Parker Solar Probe being the first to “touch” the sun, and the DART mission that redirected an asteroid for planetary defense. As a not-for-profit university affiliated research center, APL also delivered solutions to our nation’s national security challenges, as proven with the recent Deep Space Advanced Radar Concept (DARC) Tech Demo, and acts as a trusted partner with the US Space Force in space domain awareness and space-integrated warfare.
APL teams are currently developing missions that will advance the search for life in the Solar System through programs such as Europa Clipper and Dragonfly, exploring the lunar and cislunar domains, and providing fundamental knowledge of our Sun’s influence on the near-Earth environment through IMAP and other research and technology endeavors. We are seeking a part time Group Administrative Assistant who is organized and motivated and to help us maintain test equipment inventory and calibration. As the Property Management associate you will:
- Support APL-wide inventory effort every two years.
- Initiate orders and pay invoices for rented equipment on purchasing credit card (PCARD).
- Insert and log current location for equipment in the SER Group’s Asset Inventory Management (AIM) tool.
- Process equipment moves and transfers.
- Ensure all new property is tagged with an APL asset number and uploaded to the lab-wide equipment tracking database, PEMS.
- Serve as group point of contact for equipment audits.
As the Instrument Coordinator you will:
- On a monthly basis, maintain equipment calibration in accordance with quality document QF3-055, Test and Measurement Equipment Calibration Manual.
- Locate and deliver equipment due for calibration to onsite contractor or arrange for shipping. Most equipment is in B200, the rest in Space Exploration Sector areas across the APL campus.
- Work with users to determine impact of out of tolerance alerts.
- Downgrade and upgrade equipment as needed.
- Recommend repair or downgrade or surplus equipment that is out of tolerance based on original cost, replacement cost and repair cost.
- Work with leadership across the sector to process calibration extension requests beyond 30 days
- Work with group leadership to determine monthly billing of calibration costs.
Qualifications
You’ll meet our minimum qualifications for the job if you have:
- A High School diploma or equivalent.
- Minimum of 5 years' experience in a property associate or equipment inventory position.
- Have excellent organizational skills; are proficient with MS Office applications such as Excel, Word, and Outlook.
- Possess excellent written and verbal communication skills with experience composing a variety of office correspondence.
- Possess excellent interpersonal skills with the ability to work with all levels of staff.
- Are willing and able to lift heavy objects (50 lbs)
- Are able to obtain an Interim Secret level security clearance by your start date and can ultimately obtain a Top Secret, level clearance. If selected, you will be subject to a government security clearance investigation and must meet the requirements for access to classified information. Eligibility requirements include U.S. citizenship.
