This position provides high level administrative support to the Learning & Development team in the US. They will assist with a wide variety of tasks directly related to both US and Global Learning & Development programming, Coaching & Mentoring, continuing legal education (“CLE”) administration, as well as individual support for the Director of Legal Skills Training - US, Assistant Director of Professional Skills Training - US, and the Career Development Advisor - US.

This position provides high level administrative support to the Learning & Development team in the US. They will assist with a wide variety of tasks directly related to both US and Global Learning & Development programming, Coaching & Mentoring, continuing legal education (“CLE”) administration, as well as individual support for the Director of Legal Skills Training - US, Assistant Director of Professional Skills Training - US, and the Career Development Advisor - US.
Responsibilities:
Essential Functions:
- General administrative and clerical assistance, including: processing expense reports, vendor invoices and check requests; booking travel; mailing and shipping; filing and document management; and meeting scheduling for US Learning & Development team members.
- Assist the Learning & Development Administrator with administration of virtual and in-person training courses and practice group retreats, including hosting courses, sending instructor confirmation emails, creating and updating calendar invitations, reserving conference room and food/beverage requests, and distributing course materials. Host monthly Legal Risk Management sessions.
- Collecting, editing, and posting recordings of training courses
- Create, distribute, collect and summarize post program surveys
- Create and edit US Learning & Development GlobalNet pages, including posting Monthly Training Schedule
- Monitor US Learning & Development email account and provide customer service to lawyers and Business Services personnel as needed
- Assist the CLE team with CLE administration and bar dues tasks, including data entry of CLE attendance for high-attendance courses, tracking lawyer submissions of annual bar registrations and MCLE compliance submissions, filing of lawyer forms & receipts in FileSite, and providing coverage during paid time-off periods.
- Prepare and send new hire lawyer communications regarding L&D team functions
- Attendance tracking for Global & US LRM/Employment Compliance training courses
- Compile and analyze attendance, instructor, and evaluation data for internal training courses, including updating the Global L&D statistics chart. Provide attendance reports for specific courses or practice groups, as needed.
- Provide administrative support for subscriptions to online course providers, including adding and removing users and usage reports.
- Coordinate with Attorney Personnel and HRIS to obtain lawyer and Business Services headcount reports.
- Run monthly stats on internal coaching (e.g., by office, practice group, seniority) and mentoring programs
- Format and edit L&D communications, such as Global L&D Newsletter, Monthly Learning & Development Training Schedule, course handouts and PowerPoint presentations, agendas for forums, retreats and conferences, curriculum handouts, L&D written guides, and new hire notices. Coordinate with Internal Communications and Graphic Design to ensure consistent formatting and style.
- Performs other duties as assigned or required to meet Firm goals and objectives
Qualifications:
Education/Training/Certifications:
- Bachelor’s degree preferred. An equivalent combination of education and/or experience may be considered in lieu of the degree when the experience has been directly related to the functions of the job.
Professional Experience:
- 3+ years applicable experience in law firm or professional services required; experience with in professional development preferred
Technical Skills:
- High level/Expert Proficiency in:
- Microsoft Office products (full suite)
- FileSite
- Various web applications (Survey Monkey, PowerShip, WebEx, Zoom and Teams)
- CE Manager preferred
- PeopleSoft and/or viDesktop a plus

- Strong written and verbal communication skills, able to communicate effectively and in a professional manner with all levels of the Firm and outside vendors
