Job Summary:
The Lease administrator is responsible for lease management of the company’s existing leases. The team member’s responsibilities include overseeing and ensuring that billing review, audit, reconciliation and financial transactions are taken care of in a timely manner and quickly escalate issues when found. The lease administrator is responsible for the accuracy of the database information. The team member will work with Landlords to ensure compliance with their lease agreements, lead or supports resolving disputes that may arise during the leasing process, term and coordinate any necessary repairs or renovations to the property in coordination with the Company’s Facilities department.
Duties & Responsibilities:
· Maintaining records of all lease agreements, including copies of all signed documents and correspondence between the Company and landlords
· Making sure that leases are up to date and accurate by contacting landlords when necessary updates are required
· Review all Rent, CAM or NNN for lease compliance
· Assist in resolving lease violations or coordinating repairs with landlords
· Reviewing lease agreements to ensure compliance with state laws and industry standards
· Coordinates with Legal, Facilities and Accounting, on various lease issues
· Managing accounts and ensuring rent payments are accurate
· Coordinating move-in and move-out procedures with landlords
· Escalating maintenance requests with landlords, contractors, and property managers when necessary
· Work with the company’s Facilities organization to maintain soft copy files for all floor plans
Required Skills and Abilities:
· Keen attention to detail to identify inconsistencies, changes and note changes or corrects that are necessary for the lease or the company’s records.
· Strong organizational skills to maintain lease files in existing system
· Comfortable communicating with multiple parties, including the property manager, the real estate agent, the landlord and other team members.
· Ability to manage your own time and manage multiple tasks at once, staying on schedule, and focused on meeting deadlines.
· Ability to work within a team independently
· Ability to identify issues, communicate potential solutions and implementing them within your scope of responsibility.
· Resolve small to medium disputes between parties and finding solutions to unexpected problems. Escalating disputes or issues when necessary to your supervisor or the Legal Department
· Self-motivated and strong analytical skills
· Attention to detail, prioritization skill and time management
· Detail-oriented, analytical and computer literate with proficiency in Microsoft Office Suite, lease administration tools, other PC applications.
Education & Experience:
· Associates or Bachelor’s degree in business administration, finance or real estate management
· Three or more years of experience in the same or related role (i.e., Leasing Agent)
Physical Requirements:
· Prolonged periods of sitting at a desk and working on a computer
· Must be able to lift up to 15 pounds at times
Job Type: Full-time
Pay: From $55,000.00 per year
