DISTINGUISHING FEATURES OF THE CLASS:

The Legal Secretary II provides secretarial support to one or more litigating attorneys or defense attorneys, relieving the Attorney(s) of office administrative detail. May provide technical expertise in a specialty area and/or exercise supervisory authority over other legal secretaries.

ESSENTIAL FUNCTIONS:

 Type various legal documents, including letters, memoranda legislation, resolutions, ordinances and other documents utilizing formats, specified by the General Counsel/Deputy General Counsel or department director, and type drafts and finals of pleadings and memoranda of points and authorities, briefs for the Community, State Courts, Federal District Court, Court of Appeals and the United States Supreme Court.

 Maintain familiarity with the schedules of attorneys and prosecutors.

 Arrange appointments, make travel arrangements and prepare travel vouchers as required.

 Assist in organizing meetings.

 Greet visitors and handle all telephone calls; may screen incoming calls as directed for attorney/staff and direct to appropriate personnel following established procedures.

 Develop a filing system, which enhances easy retrieval of documents and files.

 Update and maintain Law Library volumes.

 Handle copying and mailing of letters and documents, ensure persons to be copied receive their copies.

 Ensure pleadings and other documents to be served on other counsel are properly served.

 Receive and transmit telefax communications.

 Take and transcribe dictation from shorthand, tapes or rough notes.

 Perform other related duties as assigned.

REQUIRED KNOWLEDGE, SKILL, AND ABILITY:

 Knowledge of Word Perfect or any comparable word processing programs.

 Knowledge of standard office equipment, including copier, computer, fax machine, computer printer and similar office equipment.

 Thorough knowledge of business English, spelling and grammar.

 Thorough knowledge of the legal terminology and legal forms, methods and procedures.

 Knowledge of the policies and procedures of the immediate work unit.

 Ability to type 70 word per minute.

 Ability to transcribe notes from shorthand, tape or rough drafts.

 Ability to communicate effectively verbally and in writing.

 Ability to maintain accurate records and prepare reports.

 Ability to understand and follow verbal and written instructions.

 Ability to establish and maintain effective working relationships with other employees, Community Officials and the public.

 Ability to perform all physical requirements of the position; agree to maintain a Drug-free workplace.

REQUIRED EDUCATION/EXPERIENCE:

High School diploma or GED and a minimum of three (3) years’ experience as a legal secretary or clerical experience in a law office or related environment which included familiarity with legal procedures.

ADDITIONAL REQUIREMENT:

 Bilingual - Pima or Maricopa language preferred.

 Required to a pass background check and fingerprint clearance as a condition of employment and must continue to maintain throughout duration of employment. Background checks are required for positions that involve regular contact with or control over Community Children in accordance with The Indian Child Protection and Family Violence Prevention Act, 25 U.S.C. Sections 3201 through 3210 and C.F.R. Part 63 and positions that have regular contact with the Elderly.
