General Description

Highly responsible position requiring proficiency in legal secretarial skills, file management, and general secretarial skills for the purposes of preparation and maintenance of resolutions, files, general correspondence and spreadsheets.


Essential Job Functions

Office and Individual responsibilities: Answers large volume of telephone calls and greets visitors. Directs callers to appropriate person or department. Responds to the public on the telephone and in person. Receives the mail and distributes accordingly. Prepares Resolutions and uploads Resolutions in the automated agenda system, maintains files and chronological and subject logs on resolutions and ordinances. Assists citizens and County staff to find resolutions and ordinances, either current or past and provides copies as requested. Receives all agenda items and maintains a log of all agenda items, determines attorney assigned and forwards to appropriate assistant. Sends out notices of the agenda deadlines. Updates all books and maintains an inventory of all books and periodicals. Assists Office Manager with general office responsibilities. Maintains and updates the active litigation list. Reviews all pending Requests for Legal Services in ProLaw and assists the departments as needed. Assists and provides backup support for the Attorneys, Paralegals and Assistants as needed. Occasionally requires bending and lifting.

Performs related work as required.

Knowledge, Skills and Abilities

  • Knowledge of business English, spelling, punctuation, and legal terminology for use in correspondence and legal documents.
  • Knowledge of legal practices and procedures, including office procedures, general filing, basic math skills, and the ability to use Microsoft Office and office equipment.
  • Ability to work independently in preparation of legal correspondence and, resolutions.
  • Familiarity with legal publications and material and their form, location, and maintenance.
  • Ability to establish and maintain effective working relationships with County officials, employees, and the public.

Minimum Requirements

PHYSICAL SKILLS/WORKING CONDITIONS: Ability to communicate effectively verbal, written and visual communication. Mostly sedentary position.

EDUCATION, TRAINING AND EXPERIENCE: Graduation from high school or possession of an acceptable equivalency diploma, supplemented by courses in legal secretarial skills and three (3) years of related legal secretarial experience OR an Associate's degree and one (1) year related legal secretarial experience. Experience in Microsoft Office, word processing, basic knowledge of computers and other related office equipment.

LICENSES, CERTIFICATIONS OR REGISTRATIONS: Possession of a valid Florida driver's license.
