Job Title: Lincubator Coordinator

JOB SUMMARY:
The Coordinator is responsible for overseeing the aspects of Lincubator Specials Projects within the Lincubator Programs. The incumbent interacts with external and internal departments and faculty to facilitate the exchange of information and provide services associated with Lincubator funding and special projects. Drawing upon a diverse set of professional, academic, technical and interpersonal competencies, the Coordinator will perform the following duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Serve as the departmental representative in the absence of the Lincubator Director in providing professional decisions.
- Implement policies, procedures & systems to provide administrative support to Activity Directors and projects
- Review Lincubator documentation as necessary to ensure administrative policies and procedures, and the Department of Education regulations/requirements are being followed
- Oversees the completion of the Lincubator monthly, quarterly, and year-end reports required by the internal and external evaluators to ensure audits.
- Maintain all Lincubator fiscal and programmatic records in an organized manner.
- Assist the Lincubator Director with budget reconciliation and expenses monthly; develop a budget tracking system to ensure compliance with University and DOE budget categories
- Monitors and maintains monthly Time and Efforts reporting in keeping with salary distribution.
- Assist in developing and enhancing policies and procedures for the Lincubator office.
- Develop and maintain a Phase 1 Data plan for the recording, retrieving and submission of necessary funding-related data to the Department of Education
- Maintain equipment inventory and make site visits to ensure that all Lincubator equipment is in place and is being properly utilized in accordance with purchase
- Assist the Director to collect, manage, analyze, interpret data and provide reports; construct strategies for measuring the implementation and tangible results of tasks designated in the Lincubator Comprehensive Development Plan
- Study both existing and new legislation, enforce adherence to policies and advise Director as needed.
- Develop materials for and maintain the Lincubator Website and Social Media
- Perform other duties as assigned.
EDUCATION:
- Bachelors or Associates Degree in Business,
EXPERIENCE:
- Experience working with Sponsored Projects/Grants Management
- Any combination of the above.
QUALIFICATIONS:
- The ability to work independently and as a member of a team with little or no supervision.
- Must be able to make decisions supporting the department’s mission and goals.
- Should be able to handle multiple tasks and projects and prioritize based on departmental functionality.
- Strong interpersonal skills, and the ability to interact professionally and communicate effectively both orally and in writing with people from varied educational, social and economic background.
- Exceptional ability to build and maintain effective working relationship
- Technical proficiency in MS Office Suite of Applications (Microsoft Word, Microsoft Excel and Power Point) Internet, E-mail, etc.; organizational skills; attention to detail; proficiency in filing and general clerical functions; self-motivated, conscientious, able to work.
- Must have a high level of confidentiality and strong commitment to professional development.
- Good analytical skills with proven ability to make adjustments as situation desires.
- Detailed oriented and customer focused.
PHYSICAL DEMANDS:
Moderate lifting up to 20 pounds as frequently as needed to move objects; dexterity to write and manipulate computer keyboard and mouse; ability to hear and speak clearly; and body mobility to stoop, kneel, bend and reach.
WORK ENVIRONMENT:
Work is primarily performed in a university campus environment and requires a flexible schedule including evening and weekend work. Travel for administrative work is expected. The employee is subject to inside environmental conditions: protection from weather conditions but not necessarily from temperature changes.
