Essential Functions
Referral Services
- Coordinates the responsibilities of Referrals Specialists and Referral Navigators, ensuring referrals are made for patients once received from the provider or the assigned Medical Assistant within 24 hours of receipt of the paperwork from the provider.
- Responsible for ensuring all organization referral and authorization functions are met and adhere by CFHC, state, federal and local accreditation policies and procedures.
- Facilitates collaboration between referral coordinators, telehealth assistants, health educators, providers, clinic managers, and medical assistants supporting patient linkage to primary and specialty care services.
- Functions as the liaison between referral sources, managed care representatives, patients and physicians concerning the network of care overseen by primary care providers at CFHC.
- Plans, develops, implements, evaluates, and monitors administrative and operational policies, procedures and processes associated with the medical records departments.
- Responsible for the direct supervision of medical records staff and ensuring the day-to-day medical records functions are met timely.
- Facilitates collaboration between medical records clerks, clinical managers, providers, and IT personnel.
- Ensures the quality of medical/health records by verifying their completeness, accuracy, and proper entry into computer and information systems.
- Assesses patient charts for missing and complete information, collaborating with providers and administrative staff to ensure completion.
- Oversees the supervision of the staff related to Medical Records Department and Referral Services.
- Selects, trains, orients, supervises, and evaluates departmental personnel and builds and promotes teamwork and mutual respect.
- Under the direction of the COO, assists in the development and implementation of goals and objectives to ensure high-quality, cost-effective operations associated with Department responsibilities.
- Administers personnel policies and procedures, interviews and supports selection of new hires, ensures orientation for on-the-job responsibilities, resolves conflicts, and evaluates employee performance.
- Analyzes, recommends, and supports best practices seeking to improve performance on quality measures to engage in work redesign, changes within the organization systems, workflow processes, policies and procedures, and quality improvement.
Education and Experience
- A minimum Bachelor of Arts in Business Administration, Public Health, Health Administration, or related field required.
- A minimum of five (5) years of experience in medical records and patient referral services and a minimum of five (5) years of managerial experience required.
- Advance coursework and training from an accredited medical records program.
- Registered Health Information Technician (RHIT) Certification, preferred.
- Previous experience with EMR is required.
Knowledge, Skills, and Abilities
- Proven knowledge of Medicaid and managed care insurance programs.
- Strong critical thinking, collaboration, research, general business operations, and problem-solving acumen.
- Deep knowledge of research, principles, and practices around diversity, inclusion, and racial equity.
- Ability to meaningfully engage a wide variety of diverse stakeholders in challenging dialogue and critical self-reflection around racial identity, implicit bias, systemic racism, and structural inequities.
- Ability to proactively identify challenges and barriers to stated objectives and employ assistance in addressing.
- Solid working knowledge of computers including Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook), Windows, and internet applications.
