The Medical Records Associate is an integral part of the Client Services Department and is a key contributor to Cornell University Veterinary Specialists (CUVS)’s service culture. The Medical Records Associate ensures medical records are categorized and filed swiftly and correctly, enabling colleagues to perform with the professionalism, efficiency and competency our clients and guests should expect throughout their relationship with us.

The Medical Records Associate’s most important priority is to enable the greater CUVS team to deliver exceptional medicine. As the receiver of data and information, it is critical that they act with urgency and accuracy to make patient files as complete as possible so the members of the medical team can deliver the best medicine possible. They should have an awareness of the upcoming patient appointment volume and work proactively to request, receive and file all associated information for optimal medical team performance and a seamless experience for our clients.

Essential Duties and Responsibilities:

· Responsible for obtaining medical records/images/diagnostic test results from referring veterinarians in advance of a patient’s appointment. Documents steps taken in record request process so the medical team can track status.

· Sends CUVS medical records/images/results (when completed and approved for sending) to referring facilities when requested.

· Responsible for sorting, downloading, labeling and attaching medical records received via fax and email into corresponding patient medical record.

· Maintains, organizes and tracks paper medical records prior to and in preparation for patient appointments.

· Monitors general hospital email accounts and forwards messages as appropriate; enters patient information from email account into medical records when submitted electronically.

· Organizes and distributes incoming faxes, as necessary, in paper and/or digital copy.

· Is cross trained on Medical Files Assistant duties and serves as back up when necessary.

· Uploads patient photographs and attaches to relevant medical record.

· Aid CSS in client/patient/referring veterinarian database corrections, cleanup, account merging and auditing.

· Monitors if Medical Files Assistant is up to date on responsibilities and reports to CSS if falling behind.

· Ensures that the files/admin area of the hospital is maintained in a clean and organized fashion.

· Performs other duties as required or requested.

Requirements and Qualifications:

· High school degree, or equivalent

· 1-2 years of relevant experience

· Basic computer literacy; experience in practice management software preferred;

· Ability to perform work quickly and accurately

· Outstanding attention to detail

· Strong organizational and time management skills

· Effective multi-tasking;

· A proactive, flexible, and solutions-oriented attitude;

· Comfort working in close proximity with animals, including large dogs;

· A dedication to lifelong learning and continuous improvement.

Work Schedule

Because the hospital operates 24/7, a usual work schedule may include daytime and/or swing and/or evening shift hours including weekends and participation in a holiday rotation.

Work Environment:

Large specialty and emergency veterinary facility; fast paced environment with frequent emergency situations; state-of-the-art medical equipment;

Sitting for extended periods of time. Repetitive computer and filing tasks. Exposure to zoonotic diseases.'
