Pay: 22.50 per hour

H&W: 4.41 This position is eligible to receive a Health & Welfare Benefit Rate per hour on all hours paid up to 40 hours per week and not to exceed 2,080 hours per year.

Summary

The Medical Records Technician coordinates the activities of workers engaged in maintaining central medical record files.

Primary Duties and Responsibilities

  • The Medical Records Technician coordinates and assists workers in storing, retrieving, checking, correcting, and copying medical records documents.
  • Coordinates operations, maintenance, and updating of medical records systems.
  • The Medical Records Technician enters data into contractor’s software program and ensures all encounter forms are completed.
  • Runs reports as designated by the Health Services Administrator and reviews each report for accuracy.
  • Monitors adherence to legal and company requirements related to retention, dissemination, access, storage, and security of information contained in files and documents.
  • Directs workers in searching files to retrieve lost or missing records.
  • Routes erroneously removed files to workers for refiling.
  • Implements records retention and destruction schedules in conformance with legal guidelines and professional practices.
  • Directs and assists workers in periodic disposal of obsolete files, following company policy and legal requirements.
  • Conducts and coordinates studies of files and filing system as directed by management.
  • Recommends changes in work procedures to improve filing system efficiency. Supervises workers engaged in archiving records.
  • Determines work procedures, prepares work schedules, and expedites workflow.
  • Assigns duties and examines work for exactness, neatness, and conformance to policies and procedures.
  • Prepares required reports.
  • Adjusts errors and complaints.
  • Performs the work of the Medical Records Clerk as needed.
  • Performs other duties as assigned.


  • High school diploma or equivalent certification required.
  • Training in an accredited medical records program or a minimum of three (3) years of experience in an established medical records system.
  • Demonstrated experience in leading and supervising the work of others.
  • Working knowledge of business English, math, good grammar and spelling skills, and ability to develop correspondence, reports and operational directives required. Must have a proven history of exercising discretion and retaining confidentiality.
  • Solid organizational and communication skills. Ability to understand and carry out moderately complex oral and written instructions; to make minor decisions in accordance with rules and regulations as they apply to work problems; to maintain company records; and to meet and deal effectively with the public and detainees required.
  • Ability to work with computers and the necessary software typically used by the department.
