Summary
The Dental Office Manager will be responsible for managing the daily operations of the dental department. This includes, but is not limited to, ensuring that the department is operating efficiently & effectively; hiring and training team members; monitoring team performance; and coaching team members to cultivate the knowledge and skills needed to provide excellent services to customers.


Responsibilities Include but are not limited to:
  • Manage the dental department in accordance with CCHC’s policies, procedures, and applicable regulations; management duties including planning, assigning, and directing work; coaching, supervising, appraising performance, and guiding professional development; rewarding and disciplining employees; addressing employee relations issues and resolving problems.
  • Management & oversight of the dentist & dental staff to ensure day – to – day operations are running effectively & efficiently.
  • Responsible for ensuring that the dental team delivers service that meets or exceeds departmental goals, while fostering a culture that strives for operational and compliance excellence.
  • Create, maintain, implement, and execute departmental workflows, forms, policies and procedures, and other resource documents to ensure that the most current information is available; continuously evaluates processes and procedures.
  • Oversee the coordination of the dentist schedule to ensure adequate clinic coverage.
  • Orders and maintains inventory of dental supplies & equipment.
  • Provide recommendations for process improvement to address bottlenecks within the department.
  • Ensures that the department has adequate dental support staff coverage; Provide coverage support where needed.
  • Ensures departmental compliance with all federal and state law and funding source guidelines/requirements.
  • Participates in establishing, reviewing, and revising standards of care, standards of practice and standards of performance.
  • Ensures dental operations and safety related information is clearly communicated and understood by staff.
  • Collaborates with the quality & risk management team to develop, implement, and monitor emergency response plans.
  • Works in collaboration with the Director of Quality Assurance & Compliance, management team, and other members of the care team to ensure ongoing implementation & compliance with national accreditation standards/regulations (i.e., PCMH; HRSA; UDS; MU; etc.).
  • Develop key performance indicators (KPIs) aimed at maximizing the efficiency of the dental department, improving patient service, and enhancing quality & safety outcomes; Report out on strategies to improve departmental performance outcomes.
  • Utilize a data-based approach to facilitate innovation & creativity in the development of new initiatives to support ongoing performance improvement and organizational change.
  • Work in conjunction with the management team to develop routine and ad hoc reports to update the status and implementation plans of programs, services, and quality initiatives.
  • Address patient complaints & service-related issues; consult with direct supervisor to discuss critical service problems.
  • Conduct quality reviews in collaboration with the management team and Director of Quality Assurance & Compliance to ensure dental program is adhering to applicable standards of funding, licensing, and accrediting agencies.
  • Complete ownership of the Electronic Health Record System, including but not limited to designated Superuser status.
  • Active participation in special projects and quality initiatives as assigned.
  • Responsible for knowledge of & compliance with all departmental policies and procedures.
  • Remain knowledgeable and well-educated on current trends/evidence in the industry.
  • Maintain strong knowledge of dental best practices.
  • Participates in internal and external committees as assigned and/or volunteered.
  • Participate in & lead team huddles as assigned.
  • Perform other related duties as necessary or required.


Minimal Qualifications/
Experience/
Skills
  • At least 2 years’ experience working as a Dental Office Manager or Administrator, preferably at a Federally Qualified Health Center (FQHC)
  • Must have a passion to deliver respectful, compassionate, and quality services to the community.
  • Ability to analyze and compile complex data for planning purposes.
  • Must have the ability to deal effectively with patients, medical staff, administration, and the public.
  • Excellent written and verbal communication skills for communicating coherently and professionally with patients, staff, and a wide range of stakeholders.
  • Ability to perform duties with minimal direction and supervision.
  • Excellent organization and time management skills.
  • Ability to adjust to variable workload and changing priorities.
  • Experience with and proficiency in Microsoft applications (Excel, Word, PowerPoint, etc.).
  • Satisfactory completion of a Dental Assistant training program preferred.
