POSITION TITLE: OFFICE MANAGER

POSITION SUMMARY: The Kentucky Circle Village (KCV) Community Manager is responsible for the overall front office activities of KCV and for coordinating all office services and related activities.

TIME/STATUS: The job is a full-time, non-exempt, hourly position covered by the policy provisions of KCV’s Employee Handbook. The position reports to the KCV Executive Director.

EDUCATIONAL REQUIREMENTS: A high school diploma or the equivalent.

EXPERIENCE: At least 5 years of increasingly responsible experience in an office or clerical environment.

DUTIES AND RESPONSIBILITIES

1. Office Operations and Procedures a. Organize and maintain office operations and procedures b. Manage filing systems c. Organize office layout d. Manage reception area to ensure effective telephone and mail communications e. Handle all incoming and outgoing mail. f. Maintain office supplies and equipment. g. Maintain condition of office; arrange for necessary maintenance and repair. h. Record office expenditures i. Act as primary point of telephone and walk-in contact during business hours

2. Resident Services a. Record and update tenant information in property management data base(s) b. Respond to resident inquiries and complaints c. Issue work orders for resident maintenance issues

d. Manage lunch reservation and reporting system e. Maintain data on current resident population f. Maintain Parking Assignment spreadsheet and wait list g. Provide office services to residents: copies, FAXes, & sell stamps

3. Property Leasing a. Respond to prospective tenant inquiries b. Maintain property leasing waiting list c. Show apartments to prospective tenants d. Prepare and execute leasing documents for new tenants e. Coordinate move-in requirements of new tenants f. Update Vacancy & Move In spreadsheet (give copies to Executive Director &

Maintenance Supervisor)

4. Property Compliance a. Conduct income recertification interviews with current residents b. Collect all related documents

5. Enter Recertifications into Next Gen monthly. Complete Annual Next Gen Report for

Compliance.
