Job description
Responsible for all aspects of operation support of construction projects including material acquisition and management, inventory control and management, contract and subcontract administration, project booking and tracking, construction invoicing and accounts receivable. Coordinates closely with Project Management, Sales and Accounting teams. Assists the President and the Vice President of Operations with various administrative and reporting tasks. This position requires a positive attitude, inquisitive nature, a willingness to take initiative and a desire to be a fully engaged member of a mutually supportive team. Duties:
- Responsible for opening new jobs, qualifying the customer and project information, and booking the project along with establishing and filing all necessary documentation
- Book project change orders
- Issue, file and track project change orders and subcontract change orders
- Obtains and maintains insurance documents
- Purchase, receive and track project material
- Prepare invoicing forecasts and collect invoicing information from Project Managers
- Prepare and send monthly invoices
- Send collection emails, and pursue A/R in coordination with Accounting and the Project Managers
- Assist safety manager and ensure field personnel have proper safety equipment.
- Responsible for general office equipment and office equipment repairs
- Keep track of and order office supplies
- Promote and participate in education and training opportunities that allow the company and its employees to meet status goals, objectives and business plans
- Participates in special projects and performs other duties as required.
Qualifications:
- Bachelor’s degree or a minimum three years’ experience in Building Automation, HVAC, Engineering, or construction company
- Excellent communication skills both oral and written
- Must be willing to work 8:00 a.m. - 4:30 p.m. in our Midtown Manhattan office
- Proficient with Microsoft office suite
- Experience with COINs or similar software a plus
