Benefits Associated with this Position
  • Life Insurance: The coverage amount is based on two and one-half times appointment salary rounded up to the next whole thousand with a maximum coverage of $100,000 and includes the same amount of Accidental Death and Dismemberment benefits. The University currently pays the entire cost of coverage.
  • Medical, Dental and Prescription Drug Coverage: The cost of coverage is shared between employees and the University. Rates are determined by participation in Wellness Program and use of tobacco products. Coverage is available on the first of the month following appointment date.
  • TIAA Retirement Contributions: Contributions begin based upon the first day of employment at a contribution rate of ten (10) percent of base appointment salary paid in full by ISU. The contributions are vested immediately. There are 40 investment options from which to choose.
  • TIAA Auto Enroll: New employees are automatically enrolled in a tax deferred retirement program at hire: three (3) percent is deducted before taxes for the program to facilitate retirement planning. Employees may opt out of the program within 90 days.
  • Fee Waiver Program: Staff may enroll in up to 18 hours of course work each academic year at a reduced rate.
  • Sick Leave: Accrued at a rate of 12 days per fiscal year with unlimited accumulation.
  • Vacation: Pay level 11 and below accrues up to 15 vacation days earned per year 1 through 4; 20 vacation days per year thereafter. Pay level 12 and above accrues 20 vacation days per year

Job Summary/Basic Function
Serves as the primary administrator of the Osher Lifelong Learning Institute (OLLI or the Institute) at Indiana State University. This position is responsible for initiating, developing, implementing, and evaluating courses, lectures and special events for OLLI. The Assistant Director creates and implements marketing materials and strategies and publicizes OLLI programs to increase and maintain membership. The position oversees operation of all aspects of the OLLI program (budget, grant, endowment, members and daily operations).

Specific Responsibilities

Required Relevant Education & Experience
Minimum qualification is Bachelors degree with 3-5 years experience. This position requires interpersonal skills to communicate effectively and professionally with administration, staff, visitors and volunteers; using diplomacy and good judgment during all interactions in the performance of a wide variety of programs and support functions. Preferred Adobe Creative Suite knowledge.

Experience, knowledge and skills managing educational courses and activities covering a wide array of subject areas for older adults. Leadership skills and experience planning, assigning, scheduling and leading older adult volunteers in the implementation of courses and complex events. Project management experience to organize work independently and manage multiple concurrent projects in various stages of development/completion.

Essential Duties and Responsibilities
Creates, plans, coordinates and implements over 150 individual programs each year including seminars, presentations, workshops, short courses, clubs, shows, public events and other related programs. Recruits facilitators, arranges venues, markets programs, registers members, coordinates transportation, and manages reservations and tickets for individual programs.

Develops and coordinates new ideas and concepts for program themes, materials and resources to supplement, expand or replace existing program components. Monitors and evaluates program effectiveness, investigates trends, and recommends and implements modifications to improve program effectiveness.

Use multiple specialized software programs to layout three customized 48-page program catalogs per year as primary marketing tool to recruit new members and engage current members. Write text, selecting and insert photos, graphics, and charts. Oversees commercial printing and coordinates mailing and distribution of catalogs to a 9 county area.

Assesses member needs and wants and promotes member satisfaction. Develops relationships and is in constant communication (email, phone calls, written and face to face) with OLLI members, volunteers, and committees.

Oversees activities of the OLLI Steering Committee and serves as ex-officio member and adviser. Creates agenda, and provides information and data used by the committee for actions and strategic planning. Reports regularly on issues, progress, problems. Works with the OLLI Steering Committee to identify and create best practices in running a world-class, 21st century lifelong learning program.

Adviser and ex-officio member of marketing and programming committees. Facilitates and coordinates activities among committees and volunteers.

Develop and maintain OLLI members and volunteers. Advising and assisting OLLI committees in budgeting, marketing, publishing and scheduling program facilities; collecting and presenting data to OLLI committees with special emphasis on financial systems and reports

Liaison between Indiana State University, Indiana State University Foundation and the Bernard Osher Foundation.

Develops relationships and coordinates activities and programs with over 25 Community partners and 13 campus units.

Communicates and works effectively with Indiana State University, its schools and colleges, ISU Foundation, national and local foundations, local government, other institutes of higher education, non-for-profit group, and civic groups.

Coordinates and/or participates in public relations activities for both Indiana State University and the Osher Lifelong Learning Institute.

Serves on various civic boards and attends professional meetings as appropriate.
