Patient Services Representative - Satellite
Job description
Position Summary:
The Patient Services Representative performs business office functions related to patient visits in the areas of switchboard operation, appointment scheduling and front desk patient reception/registration.
Principle Duties and Responsibilities:
- Open clinic; include unlocking doors, turning on equipment, retrieving messages from answering machine, making coffee, etc.
- Unload and distribute materials in shuttle box
- Retrieve information from the electronic medical record system; process tasks within the system
- Answer and screen incoming telephone calls
- Register patients for appointments
- Collect/verify/maintain patient demographic and insurance information held in computer system software
- Assist patients with account, billing and insurance inquiries
- Schedule appointments, make appointment reminder calls and send reminder cards as needed
- Observe reception area for patients that may be experiencing excessive delays for appointments, as well as overall neatness and organization of area
- Pull resource lists, out-guides, patient sheet labels and medical records for upcoming appointments
- Monitor electronic mail and respond to chart requests from other locations
- Prepare medical records for next day of appointments
- Investigate and resolve the open status of encounters on the missing tickets report for that location
- Sell vitamins, miscellaneous optical and contact lens supplies
- File medical records
- Assist patients with medical records release or transfers
- Post self-pay charges and personal payments
- Run balancing report and verify totals
- Balance cash drawer, prepare bank deposit and deliver to bank on a nightly basis
- Close clinic; includes locking doors, metering mail, turning off equipment, turning on answering machine
- Process medical records releases according to guidelines for release of protected health information
- Develop and maintain positive working relationships with other employees
- Work harmoniously with other PSRs in the clinic satellite office and distribute workload appropriately
- Other duties as assigned
Work Relationship and Scope:
The Patient Services Representative reports directly to the Business Services Manager.
Knowledge, Skills, and Abilities:
- High School diploma or equivalent
- 1-2 years customer service experience
- Demonstrates knowledge of proper, safe, efficient usage of office equipment, computers, and software; working knowledge of Microsoft Office
- Ability to work in a fast-paced medical facility while adhering to HIPAA compliance regulations
Work Conditions:
Work is generally performed at a satellite location. Travel to the Wausau office (800 N. First Street, Wausau) is required on an occasional basis. Hours of work will be dependent on the needs of the Clinic. Requires the ability to sit or stand for extended periods of time. Occasional lifting (30 pounds), bending, stooping, pushing, pulling, and climbing stairs is required.
