Job description
The Patient Services Supervisor is responsible for the day-to day operations and staffing of the front desk and scheduling departments to ensure a smooth patient flow and excellent customer service. They are responsible for running the Work Comp dispensary, and will report to the Clinic/Satellite Manager. They are charged with providing leadership and guidance to staff in order to facilitate quality patient care and satisfaction. They are responsible for preparing and reporting of department statistics and developing and implementing policies and procedures.
Key Responsibilities:
- Oversee the operations of the Front Desk and Scheduling departments.
- Monitors all staff.
- Maintain schedules for all assigned Front Desk staff.
- Monitor zones/office waiting room flow management.
- Track weekly statistics and forward the totals to the Clinic Manager on a weekly basis.
- Review stats and assist in initiating changes as necessary.
- Completes Front Desk employee evaluations and disciplinary actions.
- Train and ensure all new/revised policies and procedures are being followed.
- Assist in handling patient complaints and ensures Quality Assurance Department is notified as necessary.
- Ensure all Front Desk and Scheduling department employees are being cross-trained.
- Ensures bank deposits are made daily.
- Assist in developing and maintaining departmental hats including tests and directions.
- Ensures Front Desk and Scheduling Leads are maintaining proper stock of office and medical supplies at all times.
- Handle all departmental and employee issues as needed.
- Conducts bi-weekly meetings with assigned employees, to include agenda and minutes turned in to Clinic/Satellite Manager.
- Completes monthly audits of the department.
- Ensures office cleanliness by random audits for compliance.
- Establish and enforces OSHA/HIPAA compliance.
- Reviews weekly/monthly Clinic Lead reports to ensure all medications are up to date and expired or used medications are replaced.
- Serves as a member of the Emergency Medical Response and Violence Response Teams.
- Acts as a clinical coordinator between staff, physicians and administration.
- Assists Satellite/Clinic Manager with new employee interviews.
- Assure compliance with all company plans, policies and procedures set forth by the Florida Orthopaedic Institute
- All other duties as assigned.
Qualifications
- Minimum of 5 years experience in related medical field. Orthopaedic is a plus!
- Minimum of 2 years supervisory experience.
- Must have strong working knowledge of Microsoft Office software.
- Must have strong written and verbal communication skills.
