Job description
We are looking for a Medical Receptionist/Medical Assistant to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks along with physical therapy aide duties. You will be the first point of contact for our company. Duties include offering administrative and clerical support. NO Experience Required.
You will welcome patients and greet people who visit the clinic. You will coordinate front-desk activities, including scheduling patients, emailing, utilizing our EMR, faxing, filing, scheduling, occasionally working with patients and assisting with some floor duties. You should have a pleasant personality, as this is also a customer service role. You should be able to deal with situations in a timely and effective manner, while streamlining office operations. Responsibilities include being an active member of the health care team in assisting operating the front office along with floating to the back office when needed.
DUTIES:
- Greets and checks in patients
- Verifies charts are complete and ready.
- Prepares patients for physical therapy treatment by welcoming, comforting, providing and/or assisting patient into the physical therapy waiting area or onto a warm up machine.
- Helps treat patients by applying heat/cold packs; helping patients onto exercise equipment, monitoring motion; tracking walking time and distance; measuring mobility; performing prescribed exercises and strengthening techniques.
- Educates patients by demonstrating proper use of equipment and exercise routines.
- Check out patients, scheduling necessary appointments according to established protocol.
- Maintains safe and clean working environment by complying with procedures, rules, and regulations.
- Maintains physical therapy supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
- Enhances physical therapy organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
- Provide additional clerical support as assigned, when needed.
- Maintain patient reception area in neat and orderly manner.
- Complete copying, scanning and emailing.
- Contacting / interacting with appropriate facilities, such as Doctor offices, law firms, Insurance companies, outside referrals etc. in regards to patient care.
- Maintain an organized and clean gym and treatment area, following company policy and procedures.
- Performs other duties as assigned.
- Prepare treatment area, equipment.
- Perform clerical duties such as patient scheduling, taking inventory, ordering supplies, answering telephone, taking messages and filling out forms.
- Maintain equipment and furniture to keep it in good working condition, including performing the assembly and disassembly of equipment and accessories.
- Administer active and passive manual therapeutic exercises, therapeutic massage, heat, electrical stimulation, ultrasound, etc.
- Change linens, prep rooms, treatment stations.
- Keep and maintain accurate/timely patient records.
- Greet and welcome guests as soon as they arrive at the office
- Answer, screen and forward incoming phone calls
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and charts)
- Computer work: Constantly responding to important emails.
- Checking in/out patients
- Insurance verifications and follow up tasks
- Data entry
- Answering multi-line phones
REQUIREMENTS:
- Professional attitude and appearance

- Able to work full time.
- Certificate and/or diploma from an accredited Medical Assistant (MA) Program is not required, but does help. 99% of the tasks are on-the-job training
- No Experience Required, but always helpful
- Excellent Communication skills, written and verbal
- High School Diploma or GED
- Bilingual in English and Spanish Preferred
-Accurately input data onto our EMR system, enter appointments, payments and demographics.
-Self motivated/self starter who performs assigned tasks without having to be asked.
-Dependable and professional.
