Event PMO

Job Description Summary

The Event PMO is a key member of the Cushman & Wakefield account team for the client. This individual is part of a broader Workplace Experience team that aims to ensure employees feel productive, engaged, and well supported in the workplace, and that they are able to thrive in a dynamic environment.
The Event PMO will be responsible for a managing employee events at three headquarter locations for the client. This individual will also be responsible for ensuring event related tasks such pre-planning, supply ordering, vendor onboarding, and event communications are all tracked and planned in a cohesive manner. This Event PMO will also function as the ‘project manager’ on team meetings with Event Coordinators, Community Managers, and other stakeholders.
We are looking for a highly administrative individual who is proficient with project planning and task management. Additionally, this person should have a background in events management, facilities management / workplace services and financial budgets.

Job Description

Essential functions and responsibilities

  • Aligns event strategy to support the client’s corporate vision. Create strategic plan to ensure equitable event rollout and continuity across the portfolio for CRE driven events
  • Develop program playbook to create a framework for events strategy and execution from a programmatic point of view. Create Standard Operating Procedures capturing site specific expectations and nuances.
  • Lead program development, enhancement, and process for a positive end-to-end experience for event services
  • Train Event Coordinators on process, procedure, and communication expectations needed for successful service delivery
  • Coordinate and lead event planning meetings with key stakeholders to confirm logistics, answer questions, and ensure alignment
  • Function as the escalation point for all events related questions, concerns, and needs. Responsible for providing quick action to any escalated request and follows up, as needed
  • Review all event requests and assesses feasibility and alignment with events strategy prior to seeking written approval from the client
  • Implement event success metrics, tracking and trending to identify success moments and areas of opportunity
  • Continuously evaluate and identify innovative ways to streamline and enhance service delivery to maximize the employee experience and event impact
  • Drives service excellence standards and act as quality control/assurance on vendor quality and performance
  • Audit vendor performance and serve as primary point of contact for the C&W team for service feedback
  • Holds trusted partnerships and collaborates with the entire facilities management, SPO, Janitorial, executive teams, client and CW account management.
  • Responsible for maintaining and tracking against a budget and calendar
  • Responsible for delivering results related to all events SLAs and KPIs

KNOWLEDGE AND EXPERIENCE

  • 5 - 8 years project management, events management experience, or hospitality experience, preferably from hotel or conference services background; or commercial high-rise, campus environment, and/or property portfolio management experience
  • Strong people management and stakeholder management experience
  • High proficiency in Excel and/or project management software such as Smartsheet
  • Must have the ability to solve problems involving several options in situations.
  • Polished, professional presence and comfort interacting with individuals at all levels
  • Detail oriented, confident, self-starter with exceptional organizational and communication skills
  • Demonstrate integrity, dependability, responsibility, accountability, self-awareness, work ethic, and empathy
  • Conflict management skills with ability to work under pressure, while acting in a calm manner
  • Passion for building communities and connecting individuals

WORK ENVIRONMENT

  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. May be required to travel between locations and properties from time to time.
