We have nine Orlando Orthopaedic Center locations throughout Central Florida, plus a state-of-the-art outpatient surgery center at the heart of our downtown campus located in the trendy SoDo Shopping District just south of downtown Orlando. To provide more immediate care, we have opened several orthopaedic injury walk-in clinics located throughout Orlando and the surrounding communities.

POSITION: Physician Assigned Clinical Assistant
RESPONSIBLE TO: Appropriate Subspecialty Supervisor
JOB SUMMARY: Prepares patients to see the physicians. Ensures lab tests, diagnostic imaging reports and other paperwork is in the chart as needed. Assists physician with clinical duties as directed. Handles and processes all incoming inquiries from patients, staff and other entities. Organizes and processes incoming mail and faxes.
EDUCATIONAL REQUIREMENTS:
- High school diploma required
- CMA certificate, preferred
- Training in orthopaedic assisting is a plus
- BMO certification is a plus
QUALIFICATIONS AND EXPERIENCE:
At least one year of experience in clinical assisting; orthopaedic clinical assisting a plus;
- Proficient using email and word processing software
- Knowledge of practice management and electronic health record software (EHR)
- Familiarity with digital imaging software, preferred
- Ability to perform multiple and diverse tasks simultaneously
- Pleasant speaking voice and demeanor
- Strong written and verbal communication skills
- Neat, professional appearance
Responsibilities include, but are not limited to, the following:
Clinical Support
- Greets patients and escorts them from the waiting room to exam rooms; prepares patients for exam or treatment
- Reviews medical history with patients and updates information in EHR accordingly
- Takes patient vitals to include Height, Weight, Blood Pressure, and Pulse. Depending on the physician preference also include Respiration, Temperature and listen to the heart and lungs; logs vitals into EHR accordingly
- Orders X-Rays according to specified protocols
- Imports diagnostic images from outside imaging centers into PACS (digital imaging software); organizes in-house images into briefcases within PACS documenting appropriately in EHR
- Performs a clinical review of charts for upcoming appointments at least two days prior to appointment date. Obtain any necessary items required for the office appointment. Remind the patient to bring images as needed
- Assists with suture and staple removal, minor procedures, and fracture reductions in office
- Replenishes supplies, sets up and cleans exam rooms as needed
- Applies, adjusts and removes casts, splints, braces and other DME products according to the physician’s order
- Draws up injectable medications
- Prepares and maintains supplies and equipment for treatments, including sterilization
- Notifies Branch Manager when additional supplies are needed and/or work area and instruments are unable to be sterilized
- Performs patient education when appropriate; to include instructions in cast and splint care and use of medications
- Logs and dispenses medications to patients, if applicable
- Processes medications to pharmacy and documents in EHR according to established protocols, if applicable
- Disposes of contaminated items according to OSHA guidelines
- Ensures the Superbill for each office visit is accurate and complete, updates status in EHR accordingly
- Ensures all forms or orders are accurate, complete, and signed prior to giving to patient
- Completes MIPS requirements for all patients
- Upon completion of your clinical shift, check in with the Patient Care Coordinator to ensure no further assistance is needed prior to departure
- Assist Physician Assistant clinical coverage, as needed
- Occasionally train new employees in the Clinical Assistant role
Administrative Support
- Receives instructions from Patient Care Coordinator about which surgery or test is recommended or required and communicates this information to patient in a timely manner
- Maintains communication among the Patient Care Coordinator, Patient Care Assistant, patient, hospital, and other outside entities at all times
- Maintains proper documentation in the surgery checklist
- Collect surgery pre-payments when applicable and document chart appropriately
- Discusses pre-operative instructions with the patient, as directed by physician or Patient Care Coordinator
- When assigned, responsible for all incoming physician calls (i.e.: doctor to doctor, vendor, personal, etc.)
- When assigned, responsible for answering all incoming patient telephone calls by the third ring; ensures action taken is documented appropriately in the patient chart
- Ensure all calls received before 4pm are returned on the same day
- Ensure all faxes are indexed within 24 hours of receipt
- Ensure all voicemails are returned and documented
- Schedule appointments and handle Web submissions requests as needed
- Assist patients with scheduling Ancillary Services as needed
- Escalate unique situations to their supervisor as needed
- Occasionally train new employees on administrative duties
- Remain productive during the course of the day and offer assistant during downtime
- Responsible for some incoming inquiries, both written and verbal, from patients and health insurance carriers (i.e.: EHR messages and emails)
- Directs written and telephone inquiries to Patient Care Coordinator in a timely manner when unable to assist the person requesting information
- Processes correspondence related to the physician’s practice (i.e.: disability forms, FLMA forms, Professional Services Invoicing, etc.) as needed
- Assists the Patient Care Coordinator with routine follow up calls to patients regarding surgery, new appointments, etc.
- Maintains patient confidentiality; complies with HIPAA and compliance guidelines established by the practice
- Ensure all documentation released is logged appropriately in the ROI in patient’s chart
- Maintains detailed knowledge of practice management, electronic health record and other computer software as it relates to job functions
- Attends continuing education courses as requested
- Completes all other duties as assigned by the Patient Care Coordinator
Other
- Maintains patient confidentiality; complies with HIPAA and compliance guidelines established by the practice
- Maintains detailed knowledge of computer software as it relates to job functions
- Attends CPR and OSHA training programs as required
- Maintains certifications and registrations per state guidelines
- Attends all regular meetings
- Performs all other tasks and projects assigned by Leadership
- Maintains a manageable workweek and communicates overtime with supervisor on a weekly basis as needed

Typical Physical Demands
Position requires full range of body motion including handling and lifting patients, manual and finger dexterity and eye-hand coordination. Involves standing and walking for over an 8 hour day. Employee will occasionally be asked to lift and carry items weighing up to 30 pounds. Normal visual acuity and hearing are required. Employee will work under stressful conditions and work irregular hours. Employee will be exposed to biohazard materials on a regular basis.
Typical Working Conditions
Employee will have some exposure to communicable diseases, toxic substances (ie: cleaning products), medicinal preparations and other conditions common to a clinic environment.
