What you will be doing in the role of a Research Advocacy Program Administrator
The Scientific Strategy and Programs (SSP) team works at the intersection of science and patient advocacy, translating scientific strategy and patient insights into programs that will accelerate research discoveries to save lives. The SSP team works with Komen’s scientific advisors, patient advocates and other internal and external stakeholders to
1) advance strategies for Komen’s investment in innovative and impactful research and scientific programs.
2) develop and implement programs and initiatives in priority areas, including clinical trials, metastatic and aggressive breast cancers, breast cancer disparities, and big data.
3) position Komen as a thought leader in breast cancer research.
The Program Administrator, Research Advocacy will provide administrative support for Komen’s research advocacy and scientific programs, initiatives, and events; support the team in building relationships with patient advocates, external advisors and other stakeholders; and assist with gathering content to report to sponsors and communicate about Komen’s mission as needed.
What you will bring to the table
- Provide administrative support for Komen’s research advocacy and scientific programs, initiatives, and events as assigned.
- Performs and oversees a broad range of administrative activities including scheduling and meeting planning, document creation, tracking advocate engagement requests, and communication across multiple program sites.
- Assist with the development and implementation of strategies for Komen’s patient advocacy programs to ensure the breast cancer patient perspective is strongly represented in Komen’s research and scientific programs and position Komen as a thought leader in breast cancer research advocacy. Help develop proactive approaches to managing and enhancing Komen’s relationship with patient communities, including but not limited to those focused on research advocacy.
- Generate detailed agendas, correspondence, funding proposals, reports and other documents using Word and Power Point.
- Works with the team to develop detailed work plans, schedules, project estimates, resource plans, and budgets.
- Maintains calendar of appointments; manage recurring meetings; create presentations, and handle meeting logistics for virtual and in-person meetings, document key points, decisions and action items in meeting minutes. Make independent decisions within established guidelines to provide support with planning, organizing, and scheduling various events.
- Arrange complex and detailed travel arrangements, itineraries, and agendas in multiple time zones; compile documents for travel-related meetings; react quickly and efficiently to last-minute changes to travel schedule. Manage expense reporting and invoice processing.
- Ensures consistency with policies and procedures governing the creation and management of restricted program budgets under the strategic oversight of the Director.
- Prepare template documents, materials, reports and other assets necessary to develop and implement assigned projects.
- Track expenses and assist with identifying budget variances. Ensure accurate and timely vendor payments and expense reimbursements.
- Maintain complete and accurate records for Komen’s research advocacy programs, using Sales Force or other contacts management systems and databases as appropriate.
- Manage the collection, data entry, and monitoring of staff time and effort reports to ensure accuracy, timeliness, and compliance.
- Supports administration of service contracts, consultant agreements, and grant agreements, and other types of agreements.
- Coordinates vetting process of new grantees, speakers, consultants, and other entities through Komen Accounting.
- Support the team in building and fostering relationships with external advisors and other stakeholders.
- Serve as a point of contact for advisors, grantees, partner organizations, other stakeholders as assigned. Respond efficiently and professionally to inquiries about Komen’s research advocacy and scientific programs and ensure correspondence is appropriately documented.
- Communicate with advocates, advisors, grantees, partners to share information with them about Komen, obtain required documents and other information from them as needed, and facilitate their engagement in Komen’s mission programs and other activities.
- Prepare and distribute bios, rosters, resource materials and other assets as necessary to build and foster these relationships.
- Assist with the application/review processes for AIS membership and service on the AIS Steering Committee. Ensure that AIS-Steering Committee consulting agreements are fully executed and conflict of interest disclosures and other required documents are updated annually during each member’s term of service.
- Contribute to communications about Komen’s research advocacy and scientific programs and support revenue generation activities as needed.
- Assist with collecting information and creating content about Komen’s research advocacy and scientific programs for press releases, blogs, social media and other platforms, as needed to keep internal and external stakeholders apprised of key accomplishments and activities. Prepare reports on assigned programs, as needed.
- Maintains website information for assigned programs and coordinates with appropriate Komen staff to refresh and update content.
- Prepares or assists with preparation of materials and progress and financial reports to support donor stewardship and other revenue generating activities.
- Facilitate AIS and other patient/caregiver/advocate participation in Komen’s mission programs, media events, marketing campaigns, fundraising efforts and other activities across the organization to advance Komen’s mission. Track AIS members’ contributions to Komen and other research advocacy accomplishments.
- All other duties as assigned.

- A Bachelor’s Degree and 2-5 years of related experience.
- Strong organizational and administrative skills; detail oriented.
- Proficiency with Microsoft Office Suite, including functions of Excel and Access.
- Excellent interpersonal skills and instinctive service and customer relationship skills. Strong writing and speaking skills.
- A team-oriented attitude and strong cross-functional collaboration skills and proven ability to work in a matrixed, global organization with remote staff.
- Self-motivated and willing to take responsibility and ownership for timely and high-quality work. Ability to follow instructions and execute plans. Proven ability to manage multiple projects simultaneously.
- Positive approach to work, flexibility, professionalism, maturity, cultural awareness, sensitivity to relationships, security, and confidentiality.
We would love if you also have
- Master’s degree (particularly in life sciences, public health, or other relevant field) with two or more years of related experience, preferably within nonprofit setting and/or program development and implementation.
- Experience in health research and/or scientific project development a plus.
- Experience in complex meeting planning and direct interaction with volunteer base.
- Experience working with committees or other advisory boards.
- Expert-level knowledge of administrative procedures, planning, communication, and project tracking.
- Project management skills and/or certification a plus.
- Advanced level skills with Microsoft Office Suite products including Excel and Access.
- Proficiency with project management tools such as Asana preferred.
