Position Focus:

Provide high level administrative support for the YSM Clinical Skills training programs. The Sr. Administrator will provide administrative support for the curricular and operational aspects of the Interprofessional Longitudinal Clinical Experience (ILCE), the Medical Coach Experience (MCE), the Physical Exam course and other parts of the Clinical Skills curriculum for the Yale School of Medicine Office of Education. The Sr. Administrator will report to and work collaboratively with the Manager of the Clinical Skills Program and provide administrative support to the Clinical Skills, MCE and ILCE team. The Sr. Administrator will take responsibility for all activities necessary to assist with the planning and delivery of programs of the highest quality, plan and collaborate with other School of Medicine and School of Nursing administrative offices, work closely with the team to direct the timely compilation, production, and distribution of course materials and evaluations; contribute to the development of innovations and program enhancements that will improve program effectiveness, and operational efficiency; troubleshoot problems, working for solutions; update systems that support the curriculum to ensure compliance with school and university policies; provide user support for curriculum management systems; take minutes at meetings and provide high level administrative support to Curriculum Managers and Directors, as needed. Participate in other projects as assigned.

Based on comprehensive knowledge of and experience with program mission, strategy, and objectives, coordinate and oversee implementation of program activities. Collaborate with administrators from various professional schools to coordinate program scheduling and resources. Prepare workshop schedules with student groups; procure room assignments; timesheets for Standardized Patients, and other workshop materials as necessary. Prepare electronic teaching materials, manage curricular database; determine administrative, facility and equipment needs for symposia, lectures, seminars and conferences. Coordinate faculty development workshops and other special events collaborating with the Teaching and Learning Center and the Continuing Medical Education offices. Contribute to the distribution of specific program surveys and coordinates data collection. Provide reports on data for assessment and communicate progress, status and effectiveness of program. Develop and maintain complex databases (Excel and Access). Perform data entry as needed, ensuring data is accurate. Assist with coordination and/or completion of applications and materials needed for grant submission. Monitor program to ensure compliance with University, Federal and State guidelines rules and regulations. Serve as principle source of information on policies, programs activities. May perform other duties as assigned.

Essential Duties

1. Oversees and coordinates program activities. Establishes, selects, implements, and coordinates administrative functions, procedures, and systems. 2. Based on knowledge of and experience with program activities, objectives and staff, serves as principal source of information on policies, procedures, programs and office activities. Establishes and maintains professional relationships with internal and external contacts. 3. Processes and monitors expenses and ensures adherence to budgetary guidelines. Prepares budget drafts based on existing budgets. May oversee, coordinate and/or complete applications and materials needed for grant submission. 4. Composes substantive correspondence and written material. Determines sources of data. Compiles, synthesizes and manipulates data. Summarizes findings and writes, produces and distributes reports or portions of reports. May create simple databases. 5. Provides editorial support for a journal/publication. Proofreads and edits material for grammatical and factual accuracy. Tracks copy through various editing and production stages. Communicates with authors, printers, and others concerned with published work. 6. Oversees, instructs, and coordinates activities of support staff. 7. Ensure compliance with University, Federal, and State guidelines, rules, and regulations. 8. May perform other duties as assigned.

Required Education and Experience

Six years of related work experience, four of them in the same job family at the next lower level and a high school level education; or four years of related work experience and an Associate degree; or little or no work experience and a Bachelor degree in a related field; or an equivalent combination of experience and education.

Exceptional interpersonal and communication skills. Ability to work independently with demonstrated self-motivation, initiative, and follow through.

Required Skill/Ability 2:

Ability to recognize and independently solve intermediate level administrative and educational challenges in program administration. Proficiency with online research and public information sources.

Required Skill/Ability 3:

Demonstrated organizational and research abilities with strong attention to detail. Excellent ability to follow through with initiatives and problems to resolution independently.

Required Skill/Ability 4:

Advanced knowledge of MS Word, Excel, database software and reporting; ability to conduct data analysis. Knowledge of PowerPoint and Adobe Acrobat. Excellent writing and editing skills.

Professionalism, maturity, and the ability to work with faculty, students, staff, and other stakeholders. Excellent attendance record
