Proposal Coordinator
(8 months – Temporary)
Location: Remote, United States
Position Summary:
As part of the Sales Operations Group and reporting to Manager, Global Proposal Team, the Proposal Coordinator is responsible for managing proactive proposal engagements from qualification to contract award. Applying Bentley Sales Process (BSP) practice to understand opportunity artifacts and internal governance elements including those associated with Sales Operation’s SOX-compliance obligations, the Proposal Coordinator supports the Offer Management Team mission of advancing opportunities from lead to contract.
Responsibilities:
- Facilitate campaigns; manage proactive proposals
- Review, analyze, and summarize proactive requests
- Prepare, present, and control proposal development plans including timelines, outlines, and proposal templates
- Identify, assemble, and coordinate team participants
- Lead proposal development based on agreed response strategies and supporting content creation
- Continuously track and report progress against anticipated proposal deadline
- Manage the approval process
- Oversee proposal production and on-time delivery
- Identify, develop, and continuously improve content for re-use
- Work with Content Advancement Team to cultivate and develop proactive proposal content
- Collaborate with and engage Deal Desk team to support commercial integrity of proposals
- Continuous collection of competitive proposals under auspices of applicable open records legislation; curation and presentation of library of competitive proposals in Microsoft Teams, updated as obtained
- Aggregate proposal content and timely deliver proactive proposals for each assigned engagement
- Track and report, in near-real-time, progress against proposal completion
- Ensure closeout of responses in alignment with Bentley Proposal Process
- Administer satisfaction surveys for all managed engagements
Qualifications:
- Demonstrated ability to comprehensively analyze complex instructions and execute accordingly
- Experience supporting software sales resources, especially as part of a shared service
- Exposure to complex commercial and technological structures
- Highly skilled project manager, able to effectively convey expectations, efficiently guide proposal participants, and deliver against timelines
- Excellent English oral and written communications skills. Business fluency in German or French, or Spanish highly preferred
- Demonstrated leadership ability and a recognized capacity to drive resources within other reporting structures to adhere to schedules and comprehensively deliver against expectations
- Working knowledge of Microsoft Word and proposal automation tools (e.g., Upland Qvidian) and content and collaboration management systems (e.g., Microsoft SharePoint, Microsoft Teams)
- Combine uncompromising attention to detail with an informed understanding of the dynamics of software solution sales
- APMP certification is considered an advantage
- Requires sitting or standing at will while performing work on a computer (or any other physical requirements). The role requires communication with managers, peers and other colleagues of the company in person, and by utilizing Microsoft Teams chat, calling and meeting functions
- This role does not require travel
