Reingold, a full-service marketing and communications firm in Alexandria, Virginia, offers an outstanding opportunity for a super-sharp proposal writer to develop and submit proposals for federal, commercial, and nonprofit clients. We need a smart, organized, obsessively conscientious writer with at least three years’ experience in federal contracting, preferably on behalf of a professional services firm. Experience in producing proposals specifically for communications and marketing contracts is a plus.
You’ll join a fun but hard-working team, including two proposal directors and two proposal specialists, as well as about 200 social marketing project managers, video producers, graphic designers, media relations specialists, web and digital marketing experts, and writers. The proposal writer frequently will compile and draft content for proposals in cooperation with personnel from firms that serve as the prime contractor. Successful collaboration with this wide range of professionals demands a high performer who demonstrates initiative, total reliability, great people skills, and a good sense of humor. Patience, flexibility, and a collegial style are very important.
Every month, Reingold responds to 10–15 RFPs for contracted projects. Requests range from 100-page federal and state RFPs with detailed requirements and multiple government forms to two-page project summaries from small associations. Our proposal writers must fully grasp the sometimes arcane requirements of government RFPs; produce content that aligns with response strategies; define proposal deliverables and see that all forms, past performance data, process figures, and staffing charts are complete; help ensure that pricing is consistent with the technical solution; coordinate decision-making; and ensure that compliant proposals are submitted on time.
The proposal writer’s responsibilities include the following:
  • Implement and own proposal development from a go/no-go decision through outlining, writing and gathering content, and submission.
  • Scour RFPs for make-or-break requirements — contracting vehicles, size standards, deadlines, contacts, page limits, format, attachments, notarizations, and delivery specs.
  • Identify and communicate resource needs for proposals.
  • Identify, gather, and tailor existing copy or write new copy to respond to RFP requirements.
  • Collaborate with our design team to create proposal graphics, charts, and tables.
  • Review final proposals to ensure that all terms and conditions are met.
  • Update and keep track of proposal language.
  • Track and update past performance information.
  • Use Excel to create pricing templates that are compliant with RFPs.
