Receptionist/administrative Assistant
Job description
Commercial real estate investment firm is looking for an energetic person for the front desk. This person should be a self-starter, able to work with minimal supervision. Must also have a good telephone voice and be proficient in Microsoft Office, especially Word and Excel. Neat, front desk appearance is a must. Candidate must be dependable and able to multi-task.

Demonstrate excellent phone etiquette, take and deliver detailed phone messages
Professional, polite, discerning, courteous and always helpful
Neat front desk appearance is a must
Exercise good judgement and protect confidential information
Be organized and exhibit time management skills
Possess excellent customer service skills
Must be dependable and responsible in attendance
Exhibit strong verbal and written communication skills
Communicate clearly with coworkers, tenants, vendors, building engineer and porters
Receive rental payment checks, make copies of checks for Accounting department
Open and distribute mail and distribute packages
Enter received invoices on Excel spreadsheets
Prepare and mail accounts payable checks and monthly investor packets
Prepare FedEx and UPS packages, prepare and order courier services
File accounts payable invoices
Must be proficient with Microsoft Office Outlook, Word and Excel
Collect company receipts to match with received invoices
Prepare spreadsheets to batch expenses to various properties and entities
Create new tenant lease files and update current tenant files
Collect information for tenant lease files
Update tenant lists, property vendor lists, employee lists, phone lists, etc.
Run occasional errands
Order and stock office supplies
Request services for office equipment, phones, internet, gym equipment and fish tank
Set up conference room for meetings, conference calls, luncheons, etc.
Various special projects
Job Type: Full-time
Pay: $18.00 - $20.00 per hour
Schedule:
- 8 hour shift
- Monday to Friday
Education:
- Associate (Preferred)
Experience:
- Customer Service: 3 years (Preferred)
