Job brief
We are looking for a responsible Receptionist to perform a variety of administrative and clerical tasks. Duties of this position include providing support to our managers and employees, assisting in daily office needs and managing our company’s general day-to-day activities.
The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment.
A successful candidate will need to work well under stress to meet tight deadlines and deal with challenging work environments. Ultimately, a successful candidate must maintain the strictest confidence of any, and all, confidential information and should ensure the efficient and smooth day-to-day operation of our office.
Responsibilities include, but are not limitedto:
· Answer and direct phone calls
· Organize and distribute incoming mail
· Organize and schedule appointments
· Write and distribute email, correspondence memos, letters, faxes and forms
· Assist in the preparation of regularly scheduled reports
· Develop and maintain a filing system
· Update and maintain office policies and procedures
· Order office supplies and research new deals and suppliers
· Maintain contact lists
· Directing customers who have additional questions or concerns to their Estimator or other appropriate staff member.
· Submit and reconcile expense reports
· Provide general support to visitors
· Act as the point of contact for internal and external clients
· Support the bookkeeper
· Run office related errands such as going to the bank, post office, etc.
Requirements
· Working knowledge of office equipment, like printers and fax machines
· Proficiency in MS Office
· Must have excellent verbal and written communication skills. Required with sound administrative skills.
· Must possess excellent organizational, communication and human relations.
· Must possess ability to assume responsibility without direct supervision.
· Must exercise initiative and judgment and work in a solo, leadership role.
· Must possess ability to make decisions within the scope of assigned authority.
· Must possess a mastery of office skills and able to work with incoming interruptions.
· Must be able to handle a heavy workload and in a fast-paced environment.
· Maintains a positive, courteous and professional manner at all times.
· Excellent time management skills and the ability to prioritize work
· Attention to detail and problem solving skills
· Excellent written and verbal communication skills
· Strong organizational skills with the ability to multi-task
· High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
Job Type: Full-time
Pay: From $16.00 per hour
Schedule:
- 8 hour shift
- Day shift
- Weekend availability
Education:
- High school or equivalent (Preferred)
Experience:
- Microsoft Office: 1 year (Preferred)
- Customer Service: 1 year (Preferred)
