Partners Group seeks a dynamic Receptionist/Office Assistant to join our team in the Broomfield, CO Office. Our Receptionist will act as the first point of contact for our company, assist with office operations, and provide general administrative support across the organization. They will welcome visitors and coordinate their arrivals, book conference rooms, answer and direct incoming calls, maintain the cleanliness of common areas, respond to internal and external inquiries, work with external vendors to make sure inventory is delivered on time, and provide meeting and event support. They may also provide administrative support to executives and senior staff.

The ideal candidate will have excellent interpersonal and communication skills and executive presence. They will have a positive and friendly attitude, and a strong work ethic. We want our clients and business partners to be greeted with a friendly, smiling face and helping hand and possess 5-star service mentality. This position reports to Partners Group's Broomfield Office Manager and supports the Office Management Team.


Reception:

  • Receive visitors at the Front Desk and provide a positive experience; greet, direct and announce them appropriately.
  • Coordinate visitor arrivals by reserving/preparing conference rooms, setting up refreshments as needed and following the building security procedures.
  • Provide concierge service for Clients as needed (wi-fi access, taxi coordination, restaurant reservations, etc.). Anticipate needs of guests.
  • Willingness to go above and beyond to ensure guest satisfaction.
  • Answer, screen and forward all incoming calls from the multi-line switchboard while providing information as appropriate.
  • Maintain distribution of incoming/outgoing mail.
  • Issue new joiner access badges; keep accurate log of badge information; prepare new joiner information.
  • Assist with in-house catered events (e.g. set-up and clearing away)
  • Maintain up-to-date desk instructions and departmental materials at all times.
  • Conduct written and oral communication at the highest level of professionalism and integrity.

Office Support:

  • Perform regular walkthroughs and maintain cleanliness of office facilities (reception area, conference rooms, copy room, pantry, kitchen, dishwashers)
  • Manage and maintain office supplies and restock throughout the day,
  • Proactively address any office or building requests and field to Office Manager as necessary.
  • Assist Office Management team with various administrative tasks as assigned.

What we expect
  • Professional attitude with a friendly, outgoing demeanor to support client-facing department; enthusiastic team player contributing to strong administrative support team
  • Minimum 1- 2 years of administrative support experience, working in a professional environment for a medium to large corporate entity.
  • Proficient in MS Office Suite, and demonstrated ability to quickly learn new software and systems
  • Ability to work proactively, handling a large number of tasks while meeting deadlines, and performing well under pressure
  • Organized, with high attention to detail
  • Hours will be 8:30am – 5:30pm
